Role Description This is a full-time, on-site Mailroom Executive role based in Bengaluru. The Mailroom Executive is responsible for receiving, sorting, and distributing incoming mail, parcels, and courier packages to relevant departments and team members. The role includes preparing, packaging, labeling, and dispatching outgoing mail and documents, while maintaining accurate logs and records of all incoming and outgoing items. The Mailroom Executive will coordinate with courier partners and internal stakeholders to track deliveries, resolve discrepancies, and ensure timely distribution. Daily tasks also include maintaining mailroom supplies and equipment, organizing storage, following company procedures for handling confidential documents, and supporting basic administrative tasks as needed. The role requires consistent communication with colleagues, adherence to safety and security protocols, and a strong focus on accuracy and timeliness.

Qualifications

  • Proven ability to handle mailroom operations, including receiving, sorting, distributing, and dispatching mail and packages accurately and on time.
  • Strong organizational and time-management skills to manage multiple deliveries, prioritize tasks, and maintain orderly records and storage systems.
  • Basic computer literacy, including use of email, spreadsheets, and tracking tools for logging incoming and outgoing mail and coordinating with courier services.
  • Clear and professional communication skills for interacting with internal teams, courier personnel, and vendors, both in person and over phone or email.
  • High attention to detail and reliability in handling sensitive or confidential documents in line with company policies and security procedures.
  • Ability to work on-site in Bengaluru, perform tasks that may involve lifting and moving packages, and follow workplace safety guidelines.
  • Prior experience in a mailroom, administration, facilities, or office support role is preferred but not mandatory; willingness to learn and follow standard operating procedures is essential.
  • Minimum high school diploma or equivalent required; additional training or certification in office administration or logistics is an advantage.
