Job Description: Mail Room Executive
Position Overview: The Mail Room Executive is responsible for managing all incoming and outgoing mail operations, ensuring efficient and accurate distribution of correspondence, packages, and documents throughout the organization. This role requires attention to detail, organizational skills, and the ability to maintain confidentiality while handling sensitive materials.
Key Responsibilities:
Receive, sort, and distribute all incoming mail, packages, and courier deliveries to appropriate departments and personnel. Process outgoing mail including sorting, weighing, applying postage, and coordinating with postal services and courier companies. Maintain accurate records of registered mail, certified mail, and package deliveries requiring signatures or special handling.
Operate mail processing equipment including postage meters, sorting machines, and package scales. Manage mail room inventory including envelopes, packaging materials, postage supplies, and office supplies. Coordinate with reception and security teams for package acceptance and visitor mail services.
Handle confidential and sensitive documents according to company privacy policies and procedures. Support administrative functions including photocopying, document preparation, and basic clerical tasks as needed. Maintain clean and organized mail room facilities and ensure compliance with postal regulations.
Required Qualifications:
High school diploma or equivalent required. Minimum 1-2 years experience in mail room operations, logistics, or similar administrative role preferred. Strong organizational skills with ability to prioritize tasks and manage time effectively in a fast-paced environment.
Physical ability to lift packages up to 50 pounds, stand for extended periods, and perform repetitive tasks. Basic computer skills including familiarity with email systems, Microsoft Office applications, and ability to learn mail tracking software. Excellent attention to detail and accuracy in handling documents and packages.
Preferred Qualifications:
Associate degree or relevant certification in office administration or logistics. Experience with postage meter systems and mail processing equipment. Knowledge of postal regulations, shipping procedures, and courier services. Previous experience in corporate or commercial real estate environment.Skills and Competencies:
