We are seeking an Export Documentation Specialist to manage the end-to-end international logistics and compliance cycle. This role is responsible for the journey of an order from the moment it is punched into our system until the final eBRC (Electronic Bank Realization Certificate) is obtained. You will be the subject matter expert on statutory documentation, including industry-specific certificates from the Tea and Coffee Boards, ensuring that every shipment is compliant, cleared, and financially closed.

What is Expected From You (Key Responsibilities)

1. Order-to-Delivery Management:Own the entire international logistics process, beginning with order entry (punching) and following through until final delivery at the destination.

2. Commercial Documentation:Prepare accurate Export Invoices, Packing Lists, and Proforma Invoices (PQ Invoices) in compliance with international trade standards.

3. Statutory Certifications:Liaise with relevant authorities to obtain mandatory certificates, including the Certificate of Origin (COO), Tea Board Certificates, and Coffee Board Certificates.

4. Phytosanitary Compliance:Prepare and process documentation for Phytosanitary (PQ) Certificates and other health/safety clearances required for food and beverage exports.

5. Banking & BRC Management:Manage the end-to-end Bank Realization process. This includes preparing bank sets for collection/LC, submitting documents to the bank, and tracking the process until the eBRC is received.

6. Logistics Coordination:Act as the primary bridge between the company and international logistics partners (Freight Forwarders, CHAs, and Shipping Lines) for booking space and tracking shipments.

7. Customs Liaison:Ensure all shipping bills are correctly filed and coordinate with Customs House Agents (CHA) to resolve any queries during the port clearance process.

8. Billing & Freight Audit:Verify freight invoices, local handling charges, and other logistics-related bills to ensure accuracy before processing for payment.

9. Regulatory Tracking:Stay updated on DGFT notifications, FTP (Foreign Trade Policy) changes, and specific export incentives/duties related to the beverage industry.

10. Record Keeping:Maintain a meticulous archive of all export sets, shipping bills, and bank realizations for internal audits and GST/DGFT compliance.

Ideal Candidate (Requirements)

1. Education:Graduate in Commerce, International Trade, or Supply Chain Management. A certification in Export-Import (EXIM) management is a plus.

2. Experience:25 years of hands-on experience in Export Documentation, preferably within the Food, Beverage, or Agri-commodity industry.

3. Certification Knowledge:Prior experience in handling Tea Board and Coffee Board portals and documentation is highly preferred.

4. Banking Proficiency:Deep understanding of the FEMA guidelines, LC (Letter of Credit) terms, and the eBRC lifecycle.

5. Software Skills:Proficient in MS Excel and ERP systems. Familiarity with DGFT and Icegate portals is essential.

6. Attention to Detail:Extreme precision in document preparation to avoid port delays or bank discrepancies.

7. Coordination Skills:Ability to multitask and coordinate effectively with multiple stakeholders (Banks, Customs, Forwarders, and Internal Production).

8. Problem-Solving:Proactive in resolving documentation errors or transit delays to ensure timely delivery to international clients.

9. Regulatory Compliance:Strong grasp of GST (Export under LUT/IGST) and basic Customs regulations.
