Role Description
We are looking for a seasoned Legal Technology Lead to join our Legal Technology & Operations team. In this role, you will serve as the primary subject matter expert and platform owner for both iManage (Document Management) and Brightflag (Legal Spend & Matter Management), spanning client-facing engagements and internal operations. You will bring deep, hands-on expertise across the full administration lifecycle of both platforms from initial configuration and integration design through ongoing governance, user enablement, and continuous improvement.
With 10 or more years of experience in legal technology administration, you are equally comfortable configuring a complex iManage ethics wall as you are building Brightflag matter hierarchies, vendor scorecards, or budget alert workflows. You will act as a trusted advisor to legal operations leaders, attorneys, and finance stakeholders translating platform capabilities into measurable operational value.
Key Responsibilities
1. iManage Administration
• Administer and configure iManage Work (on-premise and/or Cloud) across workspaces, libraries, matter/client folder structures, and access controls.
• Manage user provisioning, group policies, roles, and permission sets in line with defined security and governance standards.
• Monitor system health, perform routine maintenance tasks, and coordinate with iManage support for issue resolution and upgrades.
• Coordinate application of patches, service updates, and version upgrades with Client IT or Vendor teams.
a. Configuration & Customization
• Configure metadata schemas, custom properties, naming conventions, and document profiles.
• Build and maintain saved searches, filters, and workspace templates to support matter-specific and practice-area workflows.
• Manage integration configurations with Microsoft 365 (Outlook, Teams, Word) and other legal platforms such as document review, CLM, or billing systems.
• Support DMS integration with iManage Drive, iManage Share, and API-based connectors.
b. User Support & Training
• Serve as L2 support for iManage-related incidents, escalating to L3 or iManage support where required.
• Develop and maintain user guides, SOPs, and quick-reference materials for DMS usage.
• Conduct onboarding and refresher training sessions for new and existing users.
c. Governance & Compliance
• Enforce document retention policies and records management rules within the iManage environment.
• Support audit trail reviews, access log analysis, and security reviews as required.
• Assist with data migration activities, including import/export of document repositories during client onboarding or platform transitions.
2. Brightflag Administration & Configuration
• Own end-to-end administration of the Brightflag platform, including matter setup, phase/task code configuration, billing guidelines, and vendor onboarding.
• Configure and maintain invoice review workflows, accrual management processes, budget tracking rules, and approval hierarchies.
• Build and maintain custom dashboards, KPI reports, and spend analytics views for legal operations and finance stakeholders.
• Manage Brightflag integrations with ERP/finance systems, external law firm billing platforms (eBilling), and the broader legal technology ecosystem.
• Design and enforce Outside Counsel Guidelines (OCG) within Brightflag, including timekeeper rate approvals and billing rule automation.
• Perform user provisioning, role management, and access governance across internal and external (law firm/vendor) Brightflag users.
• Lead quarterly platform reviews with the Brightflag customer success team, track feature releases, and drive adoption of new capabilities.
• Support matter lifecycle data integrity — ensuring matter status, budget, and spend data is accurate and audit-ready at all times.
Qualifications
• 10 or more years of hands-on experience in legal technology administration within a law firm, ALSP, Big 4 or corporate legal department.
• Minimum 5 years of dedicated iManage Work administration (Cloud and/or on-premise), including Control Center, workspace governance, and security model configuration.
• Minimum 5 years of Brightflag administration, including matter configuration, billing rules, eBilling workflows, budget management, and dashboard/reporting setup.
• Deep proficiency in the iManage security model: ethics walls, access control groups, folder-level permissions, policy sets, and audit log management.
• Demonstrated ability to configure iManage integrations with Microsoft 365 (Outlook, Word, Teams) and third-party legal platforms.
• Hands-on experience with Brightflag OCG enforcement, timekeeper rate management, accrual workflows, and invoice exception handling.
• Proven track record managing multi-stakeholder legal technology environments with concurrent platform responsibilities.
• Strong understanding of legal operations concepts: matter centricity, spend analytics, vendor management, document lifecycle, and legal holds.
