Lead Specialist – Executive/Administrative Assistant (Grade D1)
What can you expect
The incumbent in this role will provide high-level executive and administrative support while also managing key elements of office hospitality, leadership visits, visitor management, events, gifting, and vendor coordination. This role requires a proactive, highly organized professional who can balance day-to-day administrative support with seamless execution of employee and leadership experience initiatives. The ideal candidate will be a trusted partner to the leadership team and a go-to person for administrative, hospitality, and event-related support.
We will count on you to:
- Coordinate and manage executive calendars, ensuring efficient scheduling of meetings, appointments, and travel arrangements.
- Prioritize and communicate schedule changes promptly.
- Prepare meeting agendas, documents, and follow up on action items.
- Manage leadership visits end to end, including hospitality, logistics, meeting arrangements, and visitor experience.
- Coordinate office events, team gatherings, leadership engagements, and internal celebrations.
- Support gifting activities for employees, visitors, leaders, and special occasions as required.
- Manage visitor experience, including welcome arrangements, access coordination, hospitality, and meeting room readiness.
- Make travel arrangements, including flight bookings, hotel accommodation, and transportation. Prepare detailed itineraries and ensure travel logistics are seamless.
- Maintain organized and up-to-date files, records, and documents.
- Assist in document preparation, formatting, and distribution.
- Oversee office supplies and equipment, ensuring a well-equipped and efficient work environment.
- Handle administrative tasks to support the smooth operation of the executive office.
- Build and maintain positive relationships with internal and external stakeholders.
- Serve as a liaison between the executive and other team members.
- Act as the go-to person for IT administrative management services.
- Support onboarding and coordination with new vendors, including documentation, coordination, and follow-up.
- Assist in vendor coordination for hospitality, events, gifting, and office support services.
- Manage multiple priorities efficiently, ensuring deadlines are met with accuracy and professionalism.
- Communicate effectively with executives, team members, vendors, and external contacts.
- Allocate time and resources effectively while maintaining strong attention to detail.
What you need to have:
- Bachelor's degree in business administration or a related field preferred.
- At least 5-7 years of experience as an executive assistant or in a similar role.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- High level of discretion and ability to handle confidential information.
- Detail-oriented and capable of working independently.
- Strong attention to detail in document handling, scheduling, and administrative coordination.
- Adaptability to changing priorities, unexpected requests, and evolving responsibilities.
- Strong interpersonal skills with the ability to build positive relationships and exercise diplomacy and tact.
- Willingness and ability to adapt to new technologies and tools that improve administrative efficiency.
