Job Description

Responsibilities

Key Responsibilities

  • Calendar management – the ability to manage competing priorities and large meetings
  • Travel – responsible for scheduling extensive domestic and international travel arrangements
  • Process expense reports and invoices management
  • Organize events and staff meetings
  • Create trusted partnerships with other executive admins across the organization
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients.
  • Prepare internal and external corporate documents for team members and industry partners
  • Schedule meetings and appointments and manage travel itineraries
  • Arrange corporate events to take place outside of the work place, workplace citation events, town halls etc.
  • Maintain an organized filing system of paper and electronic documents
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among staff and clientele
  • Proficiency as SAP User

YOU MUST HAVE

  • Any full-time Graduate
  • 10 years+ experience of executive admin experience
  • Excellent computer literacy in Microsoft Office Suite (PowerPoint, Word, Outlook, Excel)

GOOD TO HAVE

  • College degree preferred
  • Individuals who are self-motivated, proactive, anticipateates the needs of their clients
  • Ability to focus on important information and identify key details
  • Strong organizational skills
  • Experience working in a global organization preferred
  • Highly dependable and trustworthy and able to manage competing priorities and deadlines
