Reporting to Facility Supervisor

How you will contribute

This role serves a function similar to that of a Receptionist, acting as the first point of contact for visitors, clients, and employees while representing the company's image and values. In addition to front-desk and reception responsibilities, the role provides administrative and workplace support to ensure the smooth day-to-day operations of the office. You will play a key role in delivering a welcoming, professional, and seamless experience for all guests while supporting office facilities and general services. This is a 1-year renewable contract role.

Main Responsibilities:

  • Manage visitor registration, access passes, and phone calls (when required), and promptly inform relevant staff of parcel or visitor arrivals.
  • Coordinate meeting room bookings and setup for trainings or events; ensure the reception area, main office, and pantry are kept clean and well-organized.
  • Handle general administrative duties such as filing, data entry, preparing the monthly newsletter, processing office and pantry orders, handling invoices, and assisting with reservations.
  • Support internal office events, including office decoration, catering coordination, and logistics arrangements.
  • Manage incoming and outgoing mail, couriers, and packages, and arrange local courier services or international deliveries (e.g., DHL) when required.
  • Work closely with internal and external stakeholders to support daily office operations, including facilities-related matters.
  • Perform other ad-hoc administrative tasks as assigned.

Who you are

  • Diploma or Bachelor's degree in Business Administration, Facilities Management, Property Management, Engineering, or a related discipline.
  • Minimum 1–2 years of experience in a front desk, receptionist, office administration, or customer service role. Experience in facilities coordination or workplace operations will be an added advantage.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
  • Strong communication and interpersonal skills with a customer service-oriented mindset.
  • Excellent organizational and time management skills, with strong attention to detail.
  • Ability to manage multiple tasks, work independently, and collaborate effectively with cross-functional teams.
  • Responsible, proactive, adaptable, and willing to learn, with a positive and professional attitude.
  • Professional demeanour and presentation, and the ability to represent the company positively as the first point of contact for visitors and employees.
