Position: Trade Operations & Documentation Executive (Import, Export & Cross-Trade)

Primary Purpose

To manage end-to-end trade operations and documentation for import, export, and cross-trade shipments, from order confirmation until cargo arrival at destination ports (including Angola, Djibouti, Congo, and others). The role ensures accurate documentation, timely shipment handling, and full compliance with international trade requirements.

Key Responsibilities

1. Shipment Planning & Document Preparation

  • After order confirmation, cross-check supplier PI, product specifications, certificates, and compliance documents.
  • Prepare shipment plans, expected timelines, and required document checklists for import, export, and cross-trade movements.
  • Verify that packaging and labelling meet destination-country regulations and product-specific requirements.

2. Import, Export & Cross-Trade Documentation

  • Prepare and verify documentation such as:
  • Commercial Invoice, Packing List, Certificate of Origin, shipping instructions, BL drafts/amendments, inspection certificates, and any destination-specific documents.
  • Ensure documentation meets origin/export regulations, destination import requirements, and Incoterms obligations.
  • Coordinate with chambers, inspection bodies, customs brokers, and other authorities when required.

3. Freight & Shipping Line Coordination

  • Handle bookings, shipping instructions, VGM submission, and compliance with carrier cut-offs.
  • Use major freight portals (CMA CGM, Maersk, MSC, CEVA) for tracking, BL management, and documentation uploads.
  • Monitor vessel schedules and provide regular updates on ETD/ETA changes across all shipment types.

4. Destination Port Documentation Support (All Countries)

  • Share complete and accurate document sets with destination teams for customs clearance.
  • Ensure timely issuance of all required certificates to avoid delays at ports such as Luanda, Djibouti, Pointe-Noire, and others.

5. Documentation Accuracy & Compliance

  • Ensure all documents are error-free, consistent, and compliant with international trade rules.
  • Maintain organized digital records for all import, export, and cross-trade shipments.
  • Support internal teams with document-related requirements and audit needs.

Required Skills & Knowledge

  • Strong working knowledge of Odoo and Microsoft Office (Excel, Outlook).
  • Good understanding of INCOTERMS (FOB, CFR, CIF, EXW, etc.) and obligations for both buyers and sellers.
  • Hands-on experience with import and export procedures, and full cross-trade documentation workflows.
  • Ability to prepare accurate shipping instructions and manage BL amendments.
  • Experience using major freight line portals: CMA CGM, Maersk, MSC, CEVA.
  • High attention to detail, strong follow-up skills, and ability to manage multiple simultaneous shipments.
