ROLE: Junior Operations Associate

EXPERIENCE: Minimum 2 years of experience in operations, logistics, or supply chain management, preferably within distribution or the chemical industry.

WORKING TIMES: Initially UK time for training (flexible thereafter)

WORKING DAYS: 5 days

PROBATION: 6 months

TEAM SIZE: 12 (current)

EDUCATION: Bachelor's degree in Commerce, Business Administration, Supply Chain, or related field preferred

LOCATION: WFH / WFO/ HYBRID

Key Responsibilities:

  • Order Processing & Customer Support: Manage end-to-end order processing including purchase orders, proformas, despatch notes, and invoices. Coordinate with warehouses, communicate order updates, and respond to customer enquiries in a timely and professional manner. Arranging samples for customers and monitoring stock levels.
  • Supply Chain & Inventory Management: Support supply and demand forecasting, budgeting, stock planning, and inventory monitoring to ensure smooth operational flow and availability. Liaising with warehouse for despatching orders and communicating updates and/ or issues with customers.
  • Systems, Data & Reporting: Operate ERP systems, CRMs, inventory management software, and master Excel spreadsheets, maintain accurate data across systems and perform data analysis using Excel and Power BI to support KPI reporting. Prepare data and report for weekly and monthly meetings.
  • Financial & Administrative Support: Process vendor invoices, assist with basic accounting tasks, monitor customer payments, support credit checks, and maintain accurate sales and financial documentation.
  • Collaboration & Process Improvement: Work closely with internal teams and external stakeholders to improve planning, ordering, and delivery processes, while identifying opportunities for operational improvements through data-driven insights.

Qualifications and Skills:

  • Education: Bachelor's degree in Commerce, Business Administration, Supply Chain Management, or a related field preferred.
  • Experience: Prior experience in purchasing, logistics, operations, or customer service roles, preferably within a distribution or trading environment. Understanding of how distribution companies work, with insight into the chemicals industry
  • Technical Skills: Proficiency in ERP systems, CRMs, inventory management software, advanced Microsoft Excel, experience with Power BI is an advantage.
  • Language Proficiency: Excellent command of English (both written and verbal).
  • Attention to Detail: Strong accuracy and attention to detail, particularly in data management, documentation, and reporting.
  • Organisational Skills: Ability to manage multiple tasks, priorities, and deadlines effectively in a fast-paced environment. Able to work independently under remote management.
