Job Description

Summary:

The Junior Office Admin will be responsible for managing day-to-day office operations, vendor coordination, facility management, and administrative support at Oaklane's Pune office.

The role requires strong organizational skills, reliability, and process discipline, ensuring a smooth and professional workplace environment aligned with Oaklane's standards.

1. Key Responsibilities

A. Office Operations

  • Manage daily office operations and ensure smooth functioning
  • Maintain office supplies, inventory, and vendor coordination
  • Oversee housekeeping, maintenance, and facility management

B. Vendor & Facility Management

  • Coordinate with vendors for services (IT, housekeeping, pantry, etc.)
  • Track vendor contracts, invoices, and payments
  • Ensure service quality and adherence to SLAs

C. Administrative Support

  • Assist leadership and teams with administrative requirements
  • Manage meeting room bookings and office logistics
  • Support travel bookings, accommodation, and event arrangements

D. Documentation & Record Keeping

  • Maintain records of invoices, contracts, and admin documentation
  • Support compliance-related documentation for office operations

E. Event & Office Coordination

  • Assist in organizing internal events, offsites, and team activities
  • Ensure office readiness for client visits and meetings

2. Required Skills & Competencies
