Job Description
Junior HR Executive (Fluent Hindi Mandatory)
Company: Amadora Gourmet Ice Cream Pvt Ltd Location: Chennai (Velachery) — central kitchen and store visits across the city Reports to: Senior Manager – Human Resources Employment type: Full-time, on-site
About Amadora
Amadora is a premium artisanal ice cream brand founded in Chennai in 2011. Everything we sell is made from scratch at our central kitchen — no premixes, no shortcuts. We run roughly 30 company-owned and franchise stores across Chennai, Bangalore and Hyderabad, along with a bakery, sauces and frozen novelty line.
Role Summary
We are looking for a Junior HR Executive to support the day-to-day running of the people function — hiring, onboarding, attendance, documentation and employee support. A large share of our kitchen, production and store workforce is drawn from Hindi-speaking states, so fluency in Hindi is non-negotiable. You will be speaking Hindi every day at the kitchen and at store level, with staff who are often far from home and rely on HR as their first point of contact.
This is a hands-on, high-volume role. You will not be sitting at a desk all day — expect regular time at the central kitchen and at stores.
Key Responsibilities
Recruitment Support
- Source candidates for store crew, kitchen and production roles through job portals, referrals, local channels and walk-in drives.
- Screen applications, make first-round calls, schedule interviews and coordinate candidate availability with hiring managers.
- Follow up with selected candidates through offer acceptance and joining, and keep the hiring tracker updated daily.
- Collect and verify candidate documents — ID, address proof, bank details, previous employment records.
Onboarding & Employee Support
- Run induction for new joiners, explaining policies, work timings, leave rules and code of conduct in the language the employee is comfortable in.
- Coordinate accommodation, uniforms, ID cards and biometric enrolment for outstation hires.
- Act as the everyday point of contact for frontline staff on leave, salary, attendance and personal queries; escalate anything serious to the Senior Manager – HR.
Attendance & Payroll Inputs
- Maintain daily attendance, biometric records, shift rosters and leave data across the kitchen and stores.
- Reconcile attendance against rosters before the payroll cut-off and flag discrepancies rather than passing them through.
- Prepare and submit payroll inputs — overtime, leave without pay, incentives, advances — to the Senior Manager – HR on schedule.
HR Documentation
- Maintain employee files and the HR database: offer letters, appointment letters, KYC, confirmation letters, transfer and exit paperwork.
- Keep trackers current — headcount, probation and confirmation status, leave balances, document pendency.
- Draft routine HR letters and notices for review, and issue them once approved.
- Support compliance filing by keeping registers, records and statutory documents organised and inspection-ready.
Engagement & Admin
- Assist with employee engagement activities, birthday and festival celebrations, and staff communication across stores.
- Support exit formalities — clearance, handover checklists and exit interview scheduling.
- Handle general HR administration and office coordination as needed.
Qualifications & Competencies
- Graduate in any discipline; MBA/PGDM in HR is an advantage but not required.
- Minimum 2 years of experience in an HR or HR-admin role.
- Fluency in Hindi is mandatory — speaking and reading. You will use it daily with kitchen, production and store staff. English is required; Tamil is a strong advantage.
- Experience in food service, QSR, retail, hospitality or manufacturing preferred — comfort with a frontline, high-turnover workforce matters more than corporate HR polish.
- Working knowledge of Excel (filters, lookups, basic formulas) and comfort with HRMS, payroll software and biometric attendance systems.
- Organised and reliable with paperwork — deadlines here are real, particularly around payroll.
- Approachable with staff but able to hold a line on policy; discreet with confidential information.
- Willing to travel within Chennai to stores and the central kitchen, including on peak days.
What Success Looks Like (First 12 Months)
- Attendance and leave data is clean and reconciled before every payroll cut-off, with discrepancies flagged in advance rather than surfacing after salaries are processed.
- Employee files are 100% complete for all new joiners, with no pending documents older than 15 days.
- Frontline hiring pipelines are kept warm independently — screening and interview scheduling happen without the Senior Manager – HR having to chase.
- New joiners complete induction within their first week and report clear understanding of policies, timings and leave rules.
- Hindi-speaking staff at the kitchen and stores treat HR as an accessible first point of contact, and routine grievances are resolved at your level before they escalate.
