Job Summary
The Junior HR & Admin Executive will support HR and administrative functions by coordinating recruitment, maintaining employee records, assisting payroll preparation, managing work pass matters, and providing general office support.
Responsibilities
- Coordinate recruitment activities by posting job ads, arranging interviews, communicating with candidates, and preparing onboarding materials to ensure smooth hiring processes
- Prepare and maintain accurate employment documents such as contracts, confirmation letters, increment letters, resignation documents, and other HR correspondence
- Maintain comprehensive employee records, including personnel files, leave and attendance logs, medical certificates, and HR documentation in compliance with company policies and Singapore employment regulations
- Assist in monthly payroll preparation by verifying attendance, leave, and overtime records to support accurate payroll processing
- Administer CPF, leave claims, insurance, and other employment-related documentation to ensure compliance with statutory requirements
- Manage work pass applications, renewals, cancellations, medical check-ups, and MOM-related documentation to facilitate legal employment of foreign staff
- Support management in employee communication, staff welfare initiatives, probation review follow-ups, and other HR administrative tasks to enhance employee engagement
- Perform office administration duties including filing, document control, managing office supplies, coordinating with vendors, and providing general administrative support to maintain efficient operations
- Handle confidential employee information with integrity and discretion to protect privacy and comply with data protection standards
- Follow instructions and complete assigned HR and administrative tasks accurately and timely to support department objectives
Preferred competencies and qualifications
- Diploma or equivalent qualification in Human Resource Management, Business Administration, or related discipline
- Minimum 1 year of relevant HR or administrative experience preferred but entry-level candidates with a strong learning attitude and administrative skills will be considered
- Basic understanding of Singapore employment practices, leave administration, CPF, MOM procedures, and work pass matters is advantageous
- Proficiency in Microsoft Office applications including Word, Excel, and Outlook
- Experience in food manufacturing, processing, logistics, warehousing, or SME environment is a plus
- Strong organizational, communication, interpersonal skills, and attention to detail
Other Information
- Work location: Jurong Food Hub, 15 Jalan Tepong
- Working arrangement: Monday to Friday, 8.30am to 6.00pm
- Salary commensurate with experience, ability, and suitability for the role
- Training and guidance will be provided
