We are looking for a Junior Executive Officer to manage the daily administrative operations of our Mumbai, Thane office. In this role, you will ensure smooth office operations, coordinate travel, and provide administrative support. You will report to the Manager – HR & Admin, India, and collaborate closely with local, regional, and global teams.
What you will work on:
- Organize hotel, flight, bus, and cab bookings (OLA/Uber/Private) for the Mumbai team's domestic and international travel using CWT and Acubiz. Support and substitute Sr. Executive Officer with any travel and visa arrangements for all team India including other locations.
- Handle all inward and outward post, courier packages, and parcel logistics.
- Coordinate meal arrangements, accommodation, logistics, and ticketing for employees and visitors.
- Review reimbursement and allowance vouchers (domestic and international) for the Mumbai team.
- Maintain petty cash records for the Mumbai region.
- Coordinate housekeeping and ensure the office premises remain well‑maintained.
- Manage stationery and housekeeping inventory, vendor bills, and usage records.
- Carry out Mumbai office maintenance activities (furniture, electrical, plumbing, painting, etc.).
- Monitor usage of office supplies such as paper bundles and printer cartridges.
- Prepare monthly credit card statements for company expenses (own card).
- Support local and global event planning together with the Sr. Executive Officer, HR Manager, and the Get‑Together Team.
- Manage photocopying, scanning, and printing.
- Collaborate with IT and service vendors in troubleshooting internet, landline, SIM, and device issues.
What helps you succeed in this role:
- A bachelor's degree in commerce, arts, or science (B.Com, BA, or B.Sc).
- 3+ years of experience in administration, preferably in a multinational company environment.
- Strong proficiency in Microsoft Office tools.
- Strong coordination and organizational abilities.
- Excellent communication skills in English (written and verbal).
- A proactive, responsible, and service‑oriented approach to work.
