Job Summary
The Global Hardware Asset Manager is globally responsible for the effective delivery, governance, and continual improvement of the organization's Hardware Asset Management capabilities across all regions. This role oversees end-to-end hardware asset lifecycle management, including planning, procurement, deployment, maintenance, optimization, and retirement—while leveraging Managed Service Providers for day-to-day operational execution.
The role is accountable for establishing and standardizing global HAM processes, integrating and fully leveraging ServiceNow for asset visibility, automation, reporting, and workflow management. Working jointly with the accountable Service Owner and key stakeholders across IT, Procurement, Finance, Facilities, Legal, and Security, the Global Hardware Asset Manager ensures hardware assets are accurately tracked, secure, cost-effective, and aligned with organizational objectives.
Hardware Asset Management plays a critical role in controlling cost, reducing risk, and enabling operational efficiency across the enterprise. The Global Hardware Asset Manager connects operational execution with business strategy to ensure transparency, lifecycle discipline, and continual improvement of hardware asset services worldwide.
Primary Responsibilities
Global Service Delivery, Performance & Improvement
- Own the global delivery of Hardware Asset Management (HAM) services across all regions and business units
- Oversee Managed Service Providers responsible for day-to-day HAM operations, ensuring consistent execution and service quality
- Establish and maintain standardized global HAM operating models, processes, and governance frameworks
- Ensure seamless service transition, stabilization, and operational handover for new hardware assets, vendors, and lifecycle programs
- Coordinate cross-region HAM activities to ensure consistent service delivery, asset visibility, and data accuracy
- Ensure hardware asset lifecycle activities (planning, procurement, deployment, maintenance, refresh, and retirement) are executed effectively
- Define, monitor, and report on SLAs, KPIs, and service performance metrics for HAM services
- Drive continuous improvement initiatives to optimize asset utilization, lifecycle efficiency, and operational effectiveness
- Identify cost optimization, asset reuse, refresh deferral, and spend-avoidance opportunities across the global hardware portfolio
- Review Managed Service Providers performance regularly and implement corrective actions and service enhancements as needed
- Use performance data, trend analysis, and lifecycle insights to inform strategic planning and service improvements
- Lead post-incident, post-refresh, and post-audit reviews to identify root causes and drive systemic improvements
Risk & Compliance
- Ensure global compliance with hardware asset policies, vendor contracts, warranties, and applicable regulatory requirements
- Manage hardware audit readiness and coordinate internal and external asset, financial, and regulatory audits
- Maintain accurate hardware asset records, ownership documentation, and audit trails to support compliance and governance
- Establish and enforce HAM controls to prevent asset loss, misuse, unauthorized deployment, and data security exposure
- Partner with Legal, Procurement, Finance, Security, and Facilities to address compliance findings, contractual obligations, and risk exposure
Customer & Stakeholder Engagement
- Act as the primary point of accountability for Hardware Asset Management (HAM) services with internal customers and stakeholders
- Build strong partnerships with Procurement, Finance, Legal, Security, Facilities, and business leadership
- Support decision-making by providing insights into hardware inventory, lifecycle status, cost, and risk impacts
- Manage hardware vendor and service provider relationships in collaboration with Procurement, including lifecycle programs, support agreements, and contract negotiations
Technical Competencies:
- Responsible for the integration of Hardware Asset Management (HAM) capabilities within ServiceNow
- Ensure accurate discovery, tracking, normalization, and reconciliation of hardware asset data across the lifecycle
- Define technical requirements, configurations, and data standards to support HAM processes and controls
- Use ServiceNow workflows, automation, and reporting to improve asset visibility, lifecycle management, and operational efficiency
- Partner with IT teams to ensure tool integrations (discovery tools, CMDB, procurement, logistics, and ITAD systems) support HAM data accuracy
Drive improvements in tooling, data quality, and automation to support scalable global Hardware Asset Management operations.
- Ability to manage hardware audits, maintain asset records, and ensure ongoing compliance
- Strong understanding of hardware procurement models, lifecycle programs, warranties, and vendor negotiation support
- Capable of operating and scaling Hardware Asset Management (HAM) services across regions and time zones
- Experience governing managed service providers and holding them accountable to SLAs and operational outcomes
- Establishes and enforces standardized global HAM processes, controls, and governance frameworks
- Defines, tracks, and improves SLAs, KPIs, and service health metrics for hardware asset services
- Proactively identifies and delivers lifecycle, cost, and operational efficiency improvements
- Leverages analytics and reporting to inform asset optimization, refresh planning, and strategic decisions
- Proactively identifies financial, operational, security, and compliance risks related to hardware assets
- Strong understanding of hardware spending management, budgeting, depreciation, and cost-avoidance strategies
- Ensure policies, controls, and asset evidence support regulatory, security, and audit requirements
- Effectively manages complex hardware-related issues, escalations, and cross-team dependencies
- Hands-on knowledge of ServiceNow Hardware Asset Management (HAM) modules and best practices
- Develops meaningful reports and dashboards to drive asset visibility, lifecycle insights, and decisions
- Strong understanding of ITIL practices and their application to hardware asset services
- Ability to operate HAM services within ITIL-aligned processes (Incident, Change, Request, and Asset Lifecycle)
- Ensures new hardware services, vendors, and lifecycle changes are transitioned smoothly into operations

MINIMUM QUALIFICATIONS
Education
- Bachelor's degree in Computer Science, Information Technology, or a related field
- (Equivalent experience may be considered in lieu of formal education.)
Professional Experience
- 5-7 years experience managing and owning the global Hardware Asset Management (HAM) program, ensuring accurate asset lifecycle tracking from procurement to retirement across multiple regions and business units.
- 5+ years experience leading end-to-end hardware asset lifecycle processes, including procurement coordination, inventory validation, deployment, move/add/change, refresh, and secure disposal to reduce risk and improve asset visibility.
- Implemented and governed global hardware asset policies and standards, ensuring compliance with audit requirements, financial controls, and vendor agreements while optimizing asset utilization.
- Directed integration of HAM with ITSM, CMDB, procurement, and finance systems, improving data accuracy, reconciliation, and reporting for executive stakeholders.
Technical Skills
- Global Hardware Asset Lifecycle Management, including procurement, deployment, inventory reconciliation, refresh cycles, and secure disposal.
- Hands-on experience with HAM and ITSM tools (e.g., ServiceNow Hardware Asset Management, Flexera, Lansweeper, Snow) for asset tracking, automation, and reporting.
- CMDB and discovery tool integration, ensuring accurate asset data, service mapping, and configuration item (CI) consistency across global infrastructure.
- Hardware inventory analytics and reporting, using dashboards and trend analysis to drive optimization, reduce losses, and support refresh planning.
