Job Description - IT Asset Management Lead

Position Summary

We are seeking an experienced IT Asset Manager to establish, manage, and optimize the organization's IT Asset Management (ITAM) and Software Asset Management (SAM) functions. The role will be responsible for the complete lifecycle management of IT hardware, software licenses, cloud subscriptions, and technology assets while ensuring compliance, cost optimization, governance, and audit readiness.

The ideal candidate should have strong experience in asset lifecycle management, software licensing, IT audits, procurement coordination, vendor management, and ITSM/ITAM tools.

Key Responsibilities

IT Asset Management (Hardware Assets)

Asset Lifecycle Management

• Manage the complete lifecycle of IT assets from procurement to disposal.
• Maintain accurate inventory records for laptops, desktops, servers, storage, network devices, peripherals, and collaboration devices.
• Ensure proper asset tagging, ownership assignment, and asset tracking.
• Conduct periodic asset audits and physical verification across all office locations.
• Track asset movement, transfers, returns, replacements, and disposals.

Asset Repository Management

• Maintain and govern Fixed Asset Register (FAR) and IT Asset Repository.
• Ensure 100% accuracy of asset information including:
• Asset Code
• Serial Number
• Make & Model
• User Mapping
• Location
• Purchase Details
• Warranty Information
• Asset Status

Asset Disposal & E-Waste Management

• Manage IT asset disposal process in compliance with company policies.
• Coordinate with approved e-waste vendors.
• Maintain disposal certificates and audit documentation.
• Ensure secure data wiping before asset disposal.

Software Asset Management (SAM)

Software License Management

• Maintain software inventory across the organization.
• Track software installations and license consumption.
• Monitor compliance for:
• Microsoft Licensing
• Adobe Licensing
• Zoom Licenses
• Atlassian Products
• Security Tools
• Enterprise Applications
• SaaS Platforms

License Compliance & Optimization

• Perform software license reconciliation.
• Identify underutilized and unused licenses.
• Recommend optimization opportunities to reduce software costs.
• Ensure compliance with vendor licensing agreements.

SaaS & Cloud Subscription Management

• Manage subscription lifecycle for SaaS applications.
• Monitor license allocation and utilization.
• Coordinate renewals and true-up exercises.
• Track cloud service subscriptions and usage.

Procurement & Vendor Management

• Work closely with Procurement and Finance teams for IT asset procurement.
• Validate quotations, purchase orders, and invoices.
• Manage hardware and software vendors.
• Track warranty, AMC, support contracts, and renewals.
• Ensure timely renewal of software licenses and support contracts.

Audit & Compliance

• Support Internal, External, ISO 27001, SOC2, and Client Audits.
• Maintain audit-ready documentation for all IT assets and software licenses.
• Conduct quarterly asset reconciliation and compliance reviews.
• Ensure compliance with organizational policies and security requirements.

ITSM & Process Governance

• Manage asset records within ITSM/ITAM platforms.
• Establish and improve ITAM and SAM processes.
• Define and maintain SOPs, policies, and governance controls.
• Ensure integration between:
• Procurement
• IT Service Desk
• HR
• Finance
• Security Teams

Reporting & Analytics

Prepare and present periodic reports including:

• Asset Inventory Report
• Software License Utilization Report
• Asset Aging Report
• Warranty Expiry Report
• Software Renewal Calendar
• Audit Compliance Dashboard
• Asset Disposal Report
• Cost Optimization Report
• License Compliance Report

Qualifications

• Bachelor's Degree in Information Technology, Computer Science, Engineering, or related field.
• ITIL Foundation Certification preferred.
• Certified IT Asset Manager (CITAM) preferred.
• CSAM (Certified Software Asset Manager) preferred.

Experience

• 8–12 years of overall IT experience.
• Minimum 5 years of experience in IT Asset Management and Software Asset Management.
• Experience managing multi-location asset inventories.
• Experience supporting ISO 27001, SOC2, and client audits.
