Job Description
CDM Smith is looking for an Intermediate Marketing Content & Database Administrator.
This role maintains the firm's marketing content database on SharePoint, ensuring all content is accurate, consistent, and aligned with firm's standards. The position focuses on content editing, quality control, and database management, supporting business development efforts across the firm.
You will work with marketing teams and technical staff to review, update, and manage content used in proposals, presentations, and other client-facing materials.
This is a process-driven, detail-focused role involving routine review and editing of content to ensure it is complete, accurate, and ready for use. This position is also the point of contact for our proprietary tool, ChatWith, a suite of AI-powered tools designed to help teams reuse marketing content and work more effectively.
How This Role Fits into the Bigger Picture
Maintaining accurate, standardized data directly supports business development efforts. This role sits at the center of that effort by:
- Reviewing submissions from technical staff and marketing teams
- Enforcing editorial, formatting, and brand standards
- Managing the release of approved content into the database
- Supporting the ChatWith platform by:
- Gather and communicate user feedback, coordinating improvements with the Business Technology team, and assisting users as needed.
- Play a role in crafting the future of ChatWith based on stakeholder needs; make tool recommendations and document business requirements
- Validate that any delivered functionality meets the goals of the requirement prior to being released to production
- Conduct demos, hold office hours, etc. to educate users on platform capabilities, as needed.
Key Responsibilities
- Review and edit content to ensure clarity, accuracy, and alignment with style and brand standards
- Manage updates, tagging, and maintenance of records in our SharePoint database
- Communicate with content owners to clarify information and request revisions as needed
- Track content status to ensure completeness before release
- Use AI-supported tools to improve consistency and efficiency where appropriate
- Collaborate with global teammates, working across time zones
- Support the ChatWith platform, in partnership with Business Technology and on behalf of stakeholder needs
Working Environment
- Reports to the Manager of the global Marketing Services Center
- Works closely with marketing teams and technical contributors across the firm
- Most communication is via email and shared systems
- Work is structured and routine, with success measured by accuracy and consistency.
Minimum Qualifications
Required Qualifications:
- Minimum 4 years of experience in a corporate environment managing content or databases
- Strong editing and proofreading skills with high attention to detail
- Strong written and verbal communication skills
- Excellent command of grammar and spelling
- A strong command of Microsoft Word, Excel, PowerPoint, and Power BI
- Experience working with templates, style guides, and defined standards
- Ability to provide clear direction and enforce compliance
- Ability to work independently in a deadline-driven environment
- Intermediate proficiency with SharePoint or similar systems.
