Job Description

Role Overview

This role combines administration, documentation, supplier coordination, and basic design support. You will help keep design projects organised, structured, and moving smoothly across multiple stages while supporting the Director with day‑to‑day tasks.

It is ideal for candidates with design‑administration experience and basic technical knowledge (AutoCAD + InDesign + Canva).

Key Responsibilities

  • Manage meeting scheduling, agendas, minutes, and action tracking
  • Maintain organised project folders, files, and documentation in Teams & SharePoint
  • Prepare, amend, and format presentations using InDesign and Canva
  • Make drawing amendments, layout updates, mark‑ups & revisions in AutoCAD
  • Coordinate with global suppliers for samples, pricing, quotations & product information
  • Track FF&E, materials, deliveries, and supplier follow-ups
  • Support project documentation, schedules, PDFs, and submissions
  • Assist with general personal administration tasks including inbox support and follow‑ups
  • Support the Director with any ad-hoc design, documentation, or administrative requirements

Skills & Requirements

Must-Have Skills

  • Strong organisational skills, documentation management & follow‑through
  • Clear written & spoken English; confident communicating with global suppliers
  • Proficient in Microsoft 365 (Teams, SharePoint, Outlook, Word, OneDrive)
  • Working knowledge of Canva
  • Basic AutoCAD skills (able to update layouts, amend drawings, prepare sheets)
  • Working knowledge of Adobe InDesign (formatting presentations & documents)
  • High attention to detail and accuracy
  • Reliable, proactive, and comfortable managing multiple tasks

Preferred Skills

  • Experience in interior design, architecture, FF&E, or construction documentation
  • Familiarity with design terminology, mood boards, material libraries, schedules
  • Ability to coordinate with international suppliers

Qualifications

  • Minimum 3+ years experience in design administration, interior design support, or architectural coordination
  • Background in interior design, architecture, construction, or similar creative industry preferred
