Job Description

Job Title: Insurance Back-Office Support

Experience Level: 1+ years.

Location: Vadodara, Gujarat

Shift Time: US Shift (10-hour shift including a 1-hour break)

Job Overview:

We are seeking a detail-oriented and proactive Insurance Back-Office Support / Virtual Assistant to provide comprehensive administrative and operational support to our insurance team. The ideal candidate will have experience with insurance processes, policy servicing, and familiarity with industry-standard management systems. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

  • Prepare and maintain Quote Summaries and Proposals.
  • Conduct policy checking, policy servicing, and ensure accuracy of all documentation.
  • Perform document indexing, filing, and record management.
  • Handle renewal processing, maintain renewal lists, and send reminders.
  • Support claims processing, documentation, and follow-up with relevant stakeholders.
  • Issue and manage Certificates of Insurance (COI).
  • Assist in billing, accounts receivable, and payment follow-up.
  • Manage policy setup, endorsements, and amendments.
  • Process loss runs and maintain updated records.
  • Set up new business accounts and ensure compliance with company standards.
  • Perform accurate data entry into relevant management systems.

Qualifications & Skills:

  • Bachelor's degree or equivalent experience in Insurance, Business Administration, or related field (preferred).
  • Prior experience in insurance back-office support, policy servicing, or virtual assistance.
  • Strong working knowledge of insurance workflows (new business, renewals, claims, COI, billing).
  • Proficiency in one or more Insurance Agency Management Systems listed above.
  • Excellent communication and organizational skills.
  • Ability to manage tasks independently, prioritize workload, and meet deadlines.
  • High attention to detail with a focus on accuracy.
  • Good to have experience in voice process.
