Location: Mumbai (Site-Based Role)

ABOUT THE ROLE:

We are looking for a highly proactive and execution-driven HVAC Contract Executive who will be responsible for contractor coordination, labour management, and identifying new contractors for HVAC project sites.

This role is critical in ensuring timely availability of contractors, skilled labour, and smooth execution at site level.

You will work closely with the Contract Manager and Project Teams to ensure that contractor availability, performance, and compliance are maintained across projects.

KEY RESPONSIBILITIES:

1) Contractor Sourcing & Identification (ADDED – CRITICAL)

Identify and source new HVAC contractors for:

- Ducting works

- Piping works

- Installation works

- Insulation works

Support onboarding of contractors by collecting required details and documents

Build and maintain a database of available contractors across locations

2) Contractor Coordination (CORE RESPONSIBILITY)

Coordinate with HVAC contractors for daily site execution

Ensure timely mobilization of contractors as per project schedules

Follow up for:

- Labour deployment

- Work progress

- Site readiness

3) Labour Management & Monitoring

Ensure required manpower is deployed at site on daily basis

Track labour attendance, productivity, and output

Escalate:

- Labour shortages

- Low productivity

- Delays

4) Site Execution Support

Work closely with Site Engineers and Project Managers

Ensure work is executed as per drawings, timelines, and quality requirements

Identify and resolve:

- Contractor delays

- Labour issues

- Coordination gaps

5) Contractor Billing & Measurement Support

Assist in measurement verification of contractor work

Support preparation and checking of contractor bills

Ensure:

- Work executed matches BOQ

- No excess billing

6) Compliance & Documentation (VERY IMPORTANT)

Ensure contractors maintain basic compliance:

- Labour records

- ID proofs

- Safety compliance

- Basic statutory documentation

Maintain site-level documentation for audits

7) Daily Reporting & MIS

Maintain daily reports including:

- Labour strength

- Work progress

- Site issues

Share updates with reporting manager

8) Material & Execution Coordination

Coordinate with site and procurement teams for material availability

Ensure no work stoppage due to material or contractor delays

9) Safety & Site Discipline

Ensure contractors follow safety norms and site discipline

Report unsafe practices and escalate immediately

IDEAL CANDIDATE PROFILE:

• 3–6 years of experience in HVAC / MEP site execution or contractor handling

• Experience in:

- Contractor coordination

- Labour management

- Basic contractor sourcing

• Basic understanding of:

- HVAC systems (ducting, piping, installation)

- Site execution processes

• Strong follow-up and coordination skills

• Ability to work in fast-paced site environment

• Basic understanding of BOQ and measurement

• Good communication and problem-solving skills

• Willingness to travel across project sites
