Job Description

Job Title: HR Operations Executive / Specialist HRIS & Automation

Location: Bangalore

Reports To: Director Human Resources

Industry: IT Services / Digital Engineering

Experience: 58 years

Notice Period: Immediate to 15 days

Preferred Qualifications

  • Master's degree in Human Resources, Business Administration, or a related field.
  • 5+ years of experience in HR Operations and HRIS within an IT or technology-driven organization.

Role Overview

The HR Operations Executive HRIS & Automation is responsible for managing and optimizing day-to-day HR operations through HR systems, automation, and structured digital processes.

The role ensures seamless employee lifecycle management, background verification, benefits administration, compliance, and accurate coordination with vendors, payroll, and finance teams.

This position plays a critical role in configuring and supporting the HRIS (Darwinbox), driving process efficiency through automation, and enabling the HR Operations team to operate in a scalable, data-driven, and technology-enabled manner.

Key Responsibilities

1. HRIS (Darwinbox) Operations & Configuration

  • Act as HR Operations SPOC for Darwinbox for day-to-day usage and issue resolution.
  • Perform basic configurations and system updates in Darwinbox.
  • Ensure system accuracy and data integrity across modules.
  • Support workflow setup, user access, and report generation.

2. Payroll & Compensation Support

  • Manage direct consultant salary details and share verified data with the Finance team after validating timesheets and invoices.
  • Collate, validate, and submit monthly shift allowance data, ensuring accuracy and timely payroll processing.
  • Support payroll audits, reconciliations, and exception handling as required.

3. Employee & Ex-Employee Support

  • Handle employment verification requests for ex-employees by providing accurate and timely information.
  • Manage HR helpdesk tickets and resolve employee queries within defined SLAs.

4. HR Documentation & Letter Management

  • Prepare and issue various HR letters, including:
  • Employment letters
  • Visa and Green Card letters
  • Experience letters
  • Other statutory and business-related documentation
  • Maintain accurate employee records and documentation.

5. Process Improvement & Automation

  • Document HR processes and SOPs in a structured manner.
  • Automate repetitive HR Operations activities (data extraction, validations, trackers, reports).
  • Improve response quality and turnaround time for HR helpdesk queries.
  • Identify automation opportunities within HR Operations to enhance team efficiency and scalability.
  • Standardize workflows, templates, and operating procedures using digital tools.

Required Skills & Competencies

  • Strong understanding of HR Operations and employee lifecycle processes.
  • Hands-on working knowledge of Darwinbox HRMS, including basic configuration and operational support.
  • Ability to leverage AI tools and automation platforms to streamline HR processes.
  • High attention to detail with strong documentation and data-handling skills.
  • Excellent coordination and stakeholder management abilities.
  • Strong proficiency in MS Excel and SharePoint, including data reconciliation, reporting, and tracker management.
  • Process-oriented mindset with a focus on continuous improvement and operational efficiency.
