Position: Human Resources Executive

Location: Remote / Local to Coimbatore

Experience: 2–3 Years

Employment Type: Full-Time

About the Role

  • We are looking for a proactive and detail-oriented Onboarding Specialist to manage end-to-end onboarding activities for India and US-based contract hiring. The ideal candidate should have hands-on experience in onboarding processes, documentation management, compliance coordination, ATS management, and stakeholder communication within the recruitment or staffing industry.
  • The candidate should be highly organized, self-motivated, and capable of collaborating effectively with cross-functional teams in a fast-paced consulting environment.

Key Responsibilities

  • Manage end-to-end onboarding activities for contractors and consultants across India and US hiring.
  • Coordinate with recruiters, hiring managers, HR, payroll, and consultants to ensure smooth onboarding processes.
  • Handle onboarding documentation including MSA, NDA, offer letters, compliance documents, and background verification coordination.
  • Maintain and update onboarding databases, trackers, and employee records with high accuracy.
  • Ensure compliance with company policies, client requirements, and onboarding procedures.
  • Manage and maintain ATS platforms such as Ceipal and other recruitment/onboarding tools.
  • Support policy management and ensure proper documentation and process adherence.
  • Coordinate joining formalities, timesheets, contract documentation, and onboarding checklists.
  • Build strong relationships with internal stakeholders, vendors, and consultants.
  • Provide timely onboarding status updates and reports to management.
  • Support process improvement initiatives to enhance onboarding efficiency and candidate experience.

Required Skills & Experience

  • 2–3 years of experience in onboarding, recruitment operations, or HR coordination.
  • Hands-on experience onboarding contractors for India and US-based hiring.
  • Strong experience handling MSA, NDA, onboarding documentation, and compliance processes.
  • Experience maintaining onboarding databases and recruitment records.
  • Hands-on experience with ATS platforms such as Ceipal.
  • Good understanding of contract staffing and recruitment industry processes.
  • Strong stakeholder management and communication skills.
  • Ability to work independently and collaborate with cross-functional teams.
  • Consulting or staffing industry experience is preferred.
  • Self-motivated, detail-oriented, and process-driven mindset.

Preferred Qualifications

  • Experience working in recruitment consulting or staffing organizations.
  • Familiarity with US staffing and contractor onboarding processes.
  • Strong organizational and multitasking abilities.
