Responsibilities:
Human Resources Operations
- Manage employee onboarding and offboarding processes, ensuring a smooth and positive employee experience.
- Maintain accurate and confidential employee records, including personnel files, employment documents, pre-employment checks, educational certificates, company asset assignments, and employee information.
- Update and maintain HRIS, employee databases, and access control systems.
- Administer employee declarations, including conflict of interest and asset declaration forms.
- Ensure HR documentation is properly filed and maintained in compliance with company policies and employment regulations.
- Conduct exit interviews, gather employee feedback, and recommend initiatives to improve employee engagement and retention.
- Support the implementation and communication of HR policies, procedures, and best practices.
- Ensure confidentiality when handling sensitive employee information.
Office Administration & Corporate Support
- Coordinate weekly counselling service reports and other administrative reports.
- Organise monthly company meetings, staff engagement activities, welfare programmes, festive celebrations, retreats, and annual events.
- Manage procurement and inventory of office stationery, pantry supplies, and general office equipment.
- Maintain records of company IT equipment, mobile devices, and user access assignments.
- Coordinate user account setup and removal to support employee onboarding and offboarding.
- Provide administrative support to various departments and assist with operational requirements.
- Provide Client Services coverage during team members absence when required.
- Support the Data Protection Officer (DPO) in implementing PDPA policies, compliance activities, and staff awareness programmes.
- Perform the role of Fire Safety Warden by supporting workplace safety initiatives, emergency preparedness, and fire evacuation exercises.
- Carry out other HR, administrative, and operational duties assigned by Management.
Talent Acquisition
- Manage the end-to-end recruitment process, including job posting, sourcing, screening, interviewing, reference checks, offer preparation, and onboarding.
- Coordinate interview arrangements between hiring managers and candidates.
- Work closely with department heads to understand manpower requirements and hiring priorities.
- Build and maintain talent pipelines for current and future hiring needs.
- Maintain accurate recruitment records and candidate databases.
- Support employer branding initiatives and recruitment activities where required.
Requirements:
- Diploma in Human Resource Management, Business Administration, or a related discipline.
- At least 2 years of experience in Human Resources, Recruitment, or Office Administration.
- Experience managing the full recruitment lifecycle is preferred.
- Familiarity with HRIS systems and Microsoft 365 administration will be an advantage.
- Proficient in Microsoft Office applications, especially Excel, Word, Outlook, and Teams.
- Strong organisational, coordination, and multitasking abilities with excellent attention to detail.
- Good interpersonal and communication skills, with the ability to build relationships across all levels.
- Able to handle confidential information with professionalism and integrity.
- Resourceful, proactive, and capable of working independently in a fast-paced environment.
