Grainville India Private Limited is a rapidly growing rice-processing and international export company supplying premium Indian rice to customers across the USA, Middle East, Africa, Europe and other global markets.

As Grainville enters its next phase of growth, we are building a professionally managed, technology-driven organisation supported by clearly defined roles, strong people systems, measurable performance standards and an AI-enabled enterprise platform.

We are looking for a highly capable and hands-on HR & Talent Acquisition Manager to work closely with the Founder & Managing Director and take ownership of Grainville's complete people function.

About the role

This is not a role limited to recruitment, attendance or routine HR administration.

The selected candidate will be responsible for building Grainville's HR function across talent acquisition, organisation design, onboarding, employee operations, performance management, policies, employee development and HR technology.

The immediate priority will be to recruit and onboard key positions across the Founder's Office, business systems, marketing and other business functions. In parallel, the person will establish scalable HR processes for Grainville's corporate office and manufacturing operations.

This role requires someone who combines strong recruitment capability, practical HR knowledge, technology orientation, structured execution and high ownership.

Key responsibilitiesTalent acquisition and manpower planning

  • Work directly with the Founder and departmental managers to understand manpower requirements.
  • Prepare clear job descriptions, candidate profiles and hiring plans for each position.
  • Lead end-to-end recruitment across corporate and factory functions.
  • Source candidates through LinkedIn, Naukri, referrals, recruitment platforms, consultants and targeted outreach.
  • Build structured screening questions, assessments and interview scorecards.
  • Conduct initial interviews and coordinate functional and final interview rounds.
  • Maintain a live recruitment dashboard covering applications, screening, interviews, offers, joining dates and hiring delays.
  • Conduct reference and background checks before final onboarding.
  • Manage salary discussions, offer issuance and joining follow-ups.
  • Develop a reliable talent pipeline for future positions.

The initial hiring priorities will include:

  • Executive Assistant to Founder & Managing Director.
  • Manager – Founder's Office, AI & Business Transformation.
  • Business Systems & Automation Manager – CRM, ERP & AI.
  • Marketing Manager – B2B, Digital & Brand.
  • Graphic & Brand Designer.
  • Other positions across sales, finance, operations, quality and international trade.

Organisation design and role clarity

  • Help prepare Grainville's organisation structure and reporting hierarchy.
  • Define roles, responsibilities, authority levels and departmental ownership.
  • Prepare and maintain job descriptions for all employees.
  • Establish KRAs and measurable KPIs for every role.
  • Identify manpower gaps, overlapping responsibilities and areas of excessive dependency on individual employees.
  • Assist management in building succession and backup arrangements for critical positions.

Employee onboarding and people operations

  • Create a structured pre-joining and onboarding process.
  • Maintain complete digital employee records and documentation.
  • Manage appointment letters, confirmations, transfers, increments, warnings, resignations and exit documentation.
  • Coordinate attendance, leave, payroll inputs and statutory HR information with the accounts and compliance teams.
  • Ensure that employees receive clear responsibilities, reporting structures and performance expectations.
  • Conduct probation reviews and confirmation processes within defined timelines.
  • Handle employee queries, workplace concerns and disciplinary matters professionally and confidentially.
  • Coordinate HR activities across Grainville's Gurugram corporate office and Gujarat manufacturing operations.

Performance management and employee development

  • Design and implement Grainville's performance-management system.
  • Establish monthly, quarterly and annual employee-review processes.
  • Create departmental and individual performance dashboards.
  • Track probation, confirmation, appraisal and improvement plans.
  • Identify employee training and capability-development requirements.
  • Coordinate functional, systems and compliance-related training.
  • Support managers in giving structured feedback and improving team performance.
  • Build a culture of accountability, ownership, documentation and continuous improvement.

HR policies and governance

  • Develop and maintain practical HR policies covering attendance, leave, conduct, confidentiality, information security, travel, expenses, remote access, performance and disciplinary matters.
  • Standardise HR forms, templates, approval processes and employee communications.
  • Ensure consistent implementation of policies across locations.
  • Coordinate with professional advisers on applicable labour-law and statutory requirements.
  • Protect employee and company information through appropriate access and confidentiality controls.

HR technology, AI and automation

  • Own the effective use of Zoho Recruit or another approved applicant-tracking system.
  • Work closely with the Business Systems & Automation Manager to develop HR and recruitment modules within Grainville's enterprise platform.
  • Digitise employee files, attendance, leave, onboarding, probation, performance reviews and approval processes.
  • Use AI tools responsibly for candidate sourcing, CV screening, job descriptions, interview preparation, communication and HR analysis.
  • Create automated reminders and workflows for interviews, joining, probation, reviews, documentation and renewals.
  • Build HR dashboards covering hiring, manpower, attendance, attrition, performance and pending actions.
  • Ensure that confidential employee and candidate information is used securely and is not shared indiscriminately with public AI tools.

What we are looking for

  • 4–8 years of hands-on experience across talent acquisition and HR generalist responsibilities.
  • Demonstrated ability to independently manage end-to-end recruitment.
  • Experience building or improving HR processes, rather than only following established procedures.
  • Strong sourcing ability across LinkedIn, Naukri, recruitment databases, referrals and direct outreach.
  • Practical experience with an ATS or HRMS such as Zoho Recruit, Zoho People or equivalent platforms.
  • Strong understanding of onboarding, employee documentation, attendance, leave, payroll coordination, performance management and employee relations.
  • Excellent written and spoken English.
  • Strong Excel, reporting, presentation and documentation skills.
  • Practical and responsible use of AI and modern recruitment tools.
  • Ability to work directly with senior management and handle confidential matters.
  • High ownership, maturity, urgency and attention to detail.
  • Willingness to work full-time and on-site from Sector 65, Gurugram.

Preferred background

Preference will be given to candidates with experience in one or more of the following:

  • Manufacturing, exports, international trade, food processing or supply chain.
  • Founder-led or rapidly growing organisations.
  • Building an HR function or introducing new HR processes.
  • Recruiting for technology, marketing, international sales, finance or operational roles.
  • HRMS, ATS, ERP or digital-transformation projects.
  • Managing employees across corporate and factory locations.

A postgraduate qualification in HR is preferred but not compulsory. Practical capability, ownership and demonstrated results will be given greater importance than the degree alone.

What success will look like

Within the first few months, the selected candidate should be able to:

  • Complete Grainville's priority hiring requirements with strong-quality candidates.
  • Establish a clear recruitment and candidate-tracking process.
  • Prepare an updated organisation chart and role descriptions.
  • Implement structured onboarding and employee documentation.
  • Define KRAs and KPIs for existing and new employees.
  • Establish probation, confirmation and performance-review systems.
  • Digitise major HR workflows and employee records.
  • Provide management with accurate and timely HR dashboards.
  • Build a professional, accountable and high-performance workplace.
