General description of role:
The Global Offer Management Specialist supports the global offer management process from offer acceptance through the employee's start date. This role coordinates offer documentation, pre-hire requirements, background check activity, candidate communications, stakeholder follow-up, and system updates to help ensure a smooth, timely, and compliant onboarding experience for new hires and internal transfers. The Specialist works closely with Talent Acquisition, HR, hiring managers, and regional partners to maintain accurate data, resolve routine issues, and support consistent execution of global offer processes.
Job responsibilities:
The colleague is responsible for:
End-to-End Offer Process Management
- Support the offer lifecycle globally from offer acceptance through start date, ensuring required steps are completed accurately and on time.
- Prepare, review, and issue offer documentation using approved templates and regional guidance.
- Coordinate and track pre-hire activities, including background checks, work authorization, references, and other market-specific requirements.
- Monitor offer-related milestones and service-level expectations, following up with candidates and stakeholders as needed.
- Identify routine delays or data discrepancies, resolve where possible, and escalate more complex issues to the appropriate partner.
Candidate Experience & Communication
- Serve as a key point of contact for candidates after offer acceptance, providing timely updates and clear guidance.
- Guide candidates through pre-employment requirements and onboarding tasks in a professional, supportive manner.
- Respond to routine candidate questions related to documentation, start dates, pre-hire requirements, and onboarding logistics.
- Ensure candidate communications are accurate, consistent, and aligned with the company's employer brand.
Stakeholder Coordination
- Partner with Talent Acquisition, HR Business Partners, hiring managers, Compensation & Benefits, Payroll, and regional HR teams to confirm offer details and pre-hire readiness.
- Coordinate with local teams to support country-specific legal, compliance, documentation, and onboarding requirements.
- Provide regular status updates and flag potential risks or delays to collaborators throughout the pre-hire process.
- Support hiring managers by confirming start dates, tracking readiness achievements, and sharing relevant pre-start updates.
Compliance, Data Integrity & Documentation
- Follow established offer and pre-hire processes in alignment with local labor requirements, internal policies, and data privacy standards.
- Maintain accurate candidate and offer data in HR systems, including ATS, HRIS, background screening platforms, and related tools.
- Prepare contracts, addenda, and supporting documentation using approved terms and templates.
- Maintain complete and audit-ready records for assigned offer and pre-hire activities.
Process Improvement & Standardization
- Support the documentation and consistent execution of standardized global offer management processes.
- Find opportunities to improve workflows, reduce manual effort, and enhance candidate and collaborator experience.
- Contribute to process improvement initiatives, pilots, and system enhancement activities related to offer management and onboarding.
- Track and maintain offer-related data and metrics, such as pre-hire completion status, start-date readiness, and issue trends.
Systems & Tools
- Use applicant tracking systems, HRIS, background screening platforms, digital signature tools, and reporting resources to manage assigned offer activity.
- Complete accurate data entry, status updates, task tracking, and workflow management within required systems.
- Share feedback on system usability, data quality, and process gaps to support ongoing improvements.
Skills/competencies required:
- 3+ years of experience in HR, Talent Acquisition operations, onboarding, recruiting coordination, or a similar operational role.
- Experience supporting time-sensitive processes across multiple collaborators, regions, or time zones .
- Solid attention to detail and ability to manage multiple offers, tasks, and follow-ups simultaneously.
- Excellent verbal and written communication skills, with the ability to communicate clearly and professionally with candidates and internal partners.
- Demonstrated ability to work with confidential information and handle sensitive data with discretion.
- Proficiency with HR systems, applicant tracking systems, and Microsoft Office tools.
Preferred
- Experience supporting a global or multinational organization across multiple countries or regions.
- Familiarity with employment documentation, background screening, onboarding, and pre-hire requirements across different markets.
- Experience supporting process standardization, continuous improvement, or HR technology enhancement initiatives.
- Bachelor's degree in Human Resources, Business Administration, or related field, or equivalent experience.
