Job Description
We are seeking a highly motivated and professional
HR Generalist Trainee who will support core HR activities along with front office operations and general administrative responsibilities. This role is ideal for freshers or early-career candidates looking to gain exposure in HR, administrative operations, and office management within a fast-paced telecom environment.
Requirements
Recruitment & Staffing Support
- Assist in job postings, resume screening, and shortlisting candidates.
- Coordinate and schedule interviews between candidates and hiring managers.
- Support initial telephonic screening and candidate interactions.
- Maintain recruitment trackers and candidate databases.
Onboarding & Employee Documentation
- Prepare joining documents, offer letters, and appointment letters.
- Assist in onboarding and induction/orientation activities.
- Maintain employee files and ensure HRMS/HRIS records are updated.
- Ensure accurate collection and verification of employee documentation.
Payroll, Attendance & Leave Support
- Track and verify attendance, shift schedules, and leave records.
- Coordinate payroll inputs with the finance team.
- Address employee queries regarding attendance, salary, and leave.
Employee Engagement & HR Operations
- Assist in organizing employee engagement initiatives and HR events.
- Help conduct HR feedback surveys and data collection.
- Support in performance documentation and issuance of HR letters.
- Front Office Responsibilities
Reception & Visitor Management
- Handle visitors and maintain a professional front desk environment.
- Maintain visitor records, ID management, and meeting coordination.
- Attend phone calls and emails, routing to the correct departments.
Customer Service & Communication
- Provide necessary information to employees, clients, and guests.
- Manage courier dispatch/receiving, tracking, and record-keeping.
- Ensure the front-desk area remains clean and welcoming.
- General Administration Responsibilities
Office Administration
- Manage office supplies, stationery, and inventory.
- Coordinate with housekeeping, security, and maintenance teams.
- Assist in vendor management and office service coordination.
Facility Management Support
- Monitor cleanliness and upkeep of office premises.
- Support setup and logistics for meetings, events, and celebrations.
- Track and maintain records of office assets and equipment.
Record Keeping & Documentation
- Maintain administrative files, registers, and MIS records.
- Prepare required administrative reports and documentation.
- Additional Responsibilities
- Respond to employee and visitor queries professionally.
- Support HR/Admin team on ad-hoc projects and assignments.
- Maintain confidentiality and ensure workplace professionalism.
Required Skills & Qualifications
- Any Degree (preferably HR/Business/Management background).
- Strong communication skills in English & Tamil.
- Good knowledge of MS Office (Word, Excel, Outlook).
- Positive attitude, well-presented, and eager to learn.
