About the Role

We are looking for an HR Operations Specialist to support and enhance employee lifecycle processes with a primary focus on US Benefits Administration, Leave Management, HR Operations, and Workday transactions. The ideal candidate will have hands-on experience managing benefits, leaves of absence, HR compliance processes, and employee support while maintaining high service standards and operational excellence.

Key Responsibilities:

Benefits Administration (US & Canada)

  • Process benefits enrollments, qualifying life events (QLEs), and terminations in Workday within defined SLAs.
  • Partner with US and Canadian benefits carriers to resolve employee benefits-related queries.
  • Execute monthly benefits billing audits, identify discrepancies, perform root cause analysis, and coordinate resolutions with Payroll.
  • Support annual Open Enrollment activities and employee benefits communication programs.
  • Coordinate HRA administration, including Adoption HRA Wallet management.

Leave of Absence Administration:

  • Manage leave cases in collaboration with leave vendors, Payroll, Managers, and HR Business Partner.
  • Administer FMLA, STD, LTD, Parental Leave, Personal Leave, and state-specific leave program.
  • Coordinate leave intake, status updates, return-to-work processes, and employee communication.
  • Partner with Payroll to ensure accurate leave pay calculations and prevent over payment situation.
  • Support leave vendor transitions and Workday integration.

Retirement Plan Administration:

  • Respond to employee inquiries related to 401(k) enrollments, contributions, hardship withdrawals, and plan provision.
  • Coordinate with retirement plan recordkeepers for participant support and escalation.
  • Partner with Payroll to ensure contribution accuracy and compliance with regulatory timelines.

HR Operations & Employee Lifecycle Managent:

  • Manage Tier 1 and Tier 2 HR support queues while maintaining SLA commitment.
  • Support contractor onboarding, transitions, and offboarding processes through Workday.
  • Coordinate pre-hire activities, Workday setup, and New Hire Orientation programs.
  • Facilitate US I-9 verification and Canadian hiring document verification processes.
  • Execute employee termination processes, including Workday updates, COBRA setup, final pay coordination, and cross-functional offboarding activities.
  • Process employee data changes, EIBs, and organizational structure updates within Workday.
  • Manage HR correspondence and route requests to appropriate stakeholders.

Process Improvement & Projects:

  • Participate in HR Operations initiatives such as benefits renewals, vendor transitions, compliance programs, and employee experience enhancements.
  • Identify opportunities for automation and process optimization.
  • Support the design, testing, and implementation of AI-driven workflows.
  • Maintain and update process documentation in Confluence and other knowledge management platforms.

Required Skills & Qualifications:

  • 6+ years of HR Operations or People Operations experience.
  • Strong experience in US Benefits Administration.
  • Hands-on experience with Workday HCM, including benefits, leave events, employee lifecycle transactions, and data management.
  • Experience managing US leaves of absence, including FMLA, STD, LTD, Parental Leave, Personal Leave, and state-specific leave programs.
  • Knowledge of US benefits compliance regulations including ERISA, ACA, COBRA, FMLA, and Section 125 plans.
  • Experience working with benefits carriers, Payroll teams, and third-party vendors.
  • Strong process improvement and workflow documentation skills.
  • Excellent written and verbal communication skills with a customer-first approach.
  • Ability to manage high-volume ticket queues while maintaining service quality and SLAs.
  • Willingness to work CST-aligned hours for collaboration with US-based teams.
  • Comfortable working in an AI-first environment and contributing to automation initiatives.

Preferred Qualifications:

  • Experience supporting Canadian benefits programs and compliance requirements.
  • Experience working with leave administration vendors.
  • Familiarity with HRA administration.
  • Experience with retirement plan administration and 401(k) programs.
  • Experience supporting DOL compliance activities and audits.
  • Knowledge of HR ticketing systems.
  • Experience using Confluence, Notion, Zapier, n8n, or similar workflow automation tools.
