Job Description

HR Executive Compliance

Location:Pune / Mumbai

Experience:3+ Years (Compliance)

Reporting To:National Manager HR

  • Statutory Forms Submission

Position Functions & Responsibilities

Payroll Management

  • End-to-end payroll processing using Staffing and Payroll platforms
  • Preparation of payroll adjustment files and validation of payroll inputs vs outputs
  • Coordination with new joiners and banks for corporate salary account opening
  • Quality check of salary registers and preparation of bank upload files
  • Ensuring salary credit within defined TAT and monthly e-payslip uploads
  • Handling tax forecast, perks upload, and payroll-related employee queries
  • Validation of monthly registers and filing of quarterly TDS returns
  • Managing annual investment declarations and proofs
  • Preparation of salary fitments during appraisals and for new hires

Employee Reimbursement Management

  • Processing monthly reimbursement claims along with payroll
  • Communicating rejections with clear reasons
  • Bank upload file preparation and approvals
  • Resolving employee reimbursement-related queries
  • Year-end reconciliation of paid and balance reimbursements

Full & Final Settlement

  • Processing F&F settlements post system termination and asset handover
  • Preparation and validation of F&F calculations
  • Issuance of relieving, experience, or recovery letters
  • Assisting exited employees with PF withdrawal/transfer
  • Ensuring gratuity payment within statutory timelines
  • Addressing queries related to F&F settlements

Statutory Compliance

  • Liaison with statutory compliance vendors for labor law adherence
  • Managing registrations, licenses, and renewals under labor laws
  • Ensuring timely filing of monthly, quarterly, and annual statutory returns
  • Complete management of EPF, ESIC, Professional Tax, and MLWF
  • Processing PF transfers, withdrawals, and handling PF-related queries
  • Handling statutory inspections and internal/external audits
  • Compliance with Shop & Establishment Act (including West Bengal)
  • Contract Labour compliance and contractor data management
  • Employment Exchange returns (Quarterly & Bi-Annual)
  • Compliance with Maternity Benefit Act and CNV Notifications
