Job Description
Pre-onboarding & onboarding process:
- Managing India HR Info Inbox and process employment request for approvals.
- Preparing salary break-ups for shortlisted candidates.
- Following up for candidate acceptance and responding to queries via email or phone.
- Informing recruiters and hiring managers to raise Employment Requests on HR Info after acceptance.
- Preparing and issuing offer letters, Terms & Conditions, and other joining documents once approved.
- Following up for acceptance, approved resignation emails, and submission of joining documents.
- Coordinating with managers to assign buddies for new joiners.
- Sending buddy guidelines to assigned buddies.
- Sharing buddy guidelines and personalized pre-welcome flyers (including name, details, and joining location) with new joiners.
- Updating managers on new joiner status, including changes in DOJ (preponed or delayed).
- Issuing welcome emails to new joiners.
- Providing onboarding checklists and documents to new joiners for sign-off within two weeks of joining.
- Updating the hiring team regarding backout and sending withdrawal email to the candidates.
- Conducting fortnightly follow-ups until the candidate joins.
- Update and maintain records of all above and ad-hoc reports as and when required
Insurance TT Legacy:
- Informing vendors (Mediclaim, Group Personal Accident, Workmen Compensation, Term Life) about new joiners and leavers in Excel format every month.
- Supporting employees with Mediclaim-related queries and following up with insurance teams for claim processing.
Others:
- Send probation completion reminders to hiring managers and issue confirmation letters to employees accordingly.
- Issue probation extension letters when applicable.
- Prepare and share HR dashboards and team flyers.
- Coordinate with office managers to support relocation needs of new joiners.
- Collect bank details of new joiners by the 20th of each month.
- Check and confirm HIVE and EAP data at the end of the month when received from the team.
Qualifications
- Bachelor's degree in human resources, Business Administration, or related field (master's preferred).
- Immediate joiners preferred.
- 3-5 years of progressive HR experience in advisory or generalist roles.
- Strong knowledge of HR policies, labor laws, and compliance requirements.
- Experience in onboarding, employee relations, and performance management.
- Proficiency in HRIS/ATS systems and MS Office tools.
- Excellent communication, interpersonal, and conflict-resolution skills.
- Ability to partner with managers and employees to provide HR guidance and support.
- Strong organizational skills with the ability to manage multiple priorities.
