As a Head of Admin for Mashreq Global Network MGN), S/he is responsible to lead and manage the
various responsibilities of Administration for MGN Globally (India , Pakistan and Egypt ) including
Mashreqbank General Services and travel services globally . S/He would be accountable for all issues
related to managing the facility, transport, Travel , internal customers and external suppliers and
provide a conducive working atmosphere.
General Administration: Responsible for management planning, operating controls and
financial performance analysis as it relates to the company objectives. Is responsible for the
development of new procedures, processes and the analysis of complex accountancy /
finance issues. S/he will review and improve the existing process periodically. Will study on
key economic indicators and company financial performance to support business planning.
Assists in the preparation of budgets following Mashreq HO guidelines and boundaries.
- Admin & Facilities: Responsible for managing the entire administration function of the organization. Responsible for carrying out administrative duties such as coordination and managing travel arrangements, housekeeping, security, organizing functions & events, etc. Responsible for coordinating with various government/legal authorities with respect to the general law of the land to be followed by an IT/Software company, ensuring compliance to all.Has complete responsibility to manage the administration function in a cost effective and efficient manner. Will handle all aspects of vendor management in areas relating to travel, cafeteria, stationary, transport, security, premise, maintenance etc. , will be responsible for appraising and evaluating vendor performance based on cost and efficiency parameters.
- Finance, Accounting, & Statutory compliances: Responsible for performing various financial
and budget analyses in the areas vendor payments , capital expenditures, budgeting & cost
saving , internal chargeability and cost center expenses allocation .
- Inventory and asset Management: Will be responsible of all inventory upkeep and Bonding
and STPI related regulatory compliance. Will also be responsible for inventory of all staff and
EC workstation details, Asset registration , tracking , inventory list , asset transfer and write
off and disposal
- Payments: Responsible for verification of all invoices and bills for their correctness and
match with the Purchase order before processing the same for payment.
- Staff Travel: Responsible for managing Global travel desk covering arrangements for staff
like Air ticket, Currency, Travel Insurance and coordinate for their Visa and hotel
arrangements, Scope will cover All MGN and Mashreq Locations globally
- HSE, Safety and Security: Responsible for all safety and security aspects for MGN
Compliance, Audit and internal control; Adhere and follow the Mashreq, MGN, the
governmental , authorities policies , procedures , Regulations and reporting to mitigate
risk exposure in line with the organization goals and standards and the different location
local rules and regulations.
Operating Environment, Framework and Boundaries, Working Relationships
- Lead the entire administration team for all MGN locations and Mashreq General services
- Responsible for legal and statutory compliances with regard to performance of the company.
- Interact with suppliers, service providers and the legal bodies with regard to various business
requirements.
- Interact with Mashreq teams for processing of approvals & to provide required information in
this regard.
Decision Making Authority & Responsibility
To decide on the correct product and supplier.
- Negotiate the terms of payment and services.
- Decide on the process and procedures with regard to entire administrative & facilities
management services.
- Planning & budgeting.
- Operate as per approved budget.
- Responsible for signing documents as per delegated authority.
Knowledge, Skills And Experience
- A very experienced Manager, who is able to liaise with Mashreq's senior management and strong in managing various stakeholders (Head of Corporate Real Estate & Admin as well as Head of MGN & MGN Country heads).
Broad experience in areas like Facility & Real Estate management, Procurement, safety & security and Finance (budget) & Payments in general.
- Able to and experienced in working with various cultures, preferably within a large corporation.
- Experienced and skillful in managing and developing people.
- Fluent in English.
- Excellent communication skills.
- Resourceful in getting things done, in a compliant manner.
- Expertise and experience in Travel management
- Experience in Global organization and managing global teams
