Job Description

Google Workspace Administration

• User account provisioning: Create email IDs and accounts for new employees
• User deprovisioning: Revoke access, transfer data, archive accounts for departing employees
• Google Groups and distribution list management

• Shared Drive creation and access permission management
• Storage quota monitoring and optimization

Employee Lifecycle IT Management

Onboarding:
• Create Google Workspace account and add to relevant Groups/Shared Drives
• Provision access to SaaS tools
• Configure laptop with required software and security settings
• IT orientation session for new joiners

Offboarding:
• Revoke all IT access within 24 hours of notification
• Transfer data ownership to designated successor
• Backup and archive user data per retention policy
• Collect and sanitize IT assets

SaaS Application Administration

• Asana workspace administration and user management
• Slack workspace administration and user management
• HR systems support and troubleshooting
• User training and documentation for all SaaS tools

Security & Compliance

• Quarterly security audits of Google Workspace settings
• 2-Factor Authentication (2FA) enforcement and compliance monitoring
• Monitor suspicious login attempts and security alerts
• Password policy enforcement
• Quarterly access review report (users, permissions, external sharing)
• Security awareness guidance for staff

AI Tools Administration

• Google Gemini / Workspace AI feature enablement and support
• ChatGPT/Claude team subscription management
• API key management and security
• User training on AI tool usage and best practices
• Monitor AI tool usage and costs

Hardware Support & Maintenance

• Diagnose and repair desktops, laptops, printers, MFDs, scanners, and projectors
• Maintain network devices including routers, switches, and access points
• Support audio/video equipment in meeting and conference rooms
• Coordinate with OEM vendors for warranty claims and repairs
• Maintain IT hardware inventory with asset tagging
• Prepare and configure devices for new staff

Operating System & Desktop Support

• Install, reinstall, and troubleshoot Windows/MAC operating system
• Manage Windows/MAC updates and security patches
• Install and configure antivirus software; monitor threats
• Perform user data backup and restoration
• Install and configure licensed software applications with renewal

Google Workspace & Collaboration Tools

• Provide end-user support for Gmail, Google Drive, Calendar, and Meet
• Troubleshoot Drive sync, sharing permissions, and access issues
• Support Zoom meeting setup, host controls, and troubleshooting
• Support Teams meeting setup, host controls, and troubleshooting

Network & Connectivity

• Troubleshoot and maintain network infrastructure
• Resolve internet connectivity issues
• Optimize WiFi coverage across office premises
• Coordinate with ISP for service escalations

Event & Workshop Support

• Provide IT support during workshops, conferences, and organizational events
• Setup and test AV equipment, projectors, and video conferencing systems
• Support hybrid meetings with in-person and virtual participants

Service Management

• Manage IT support requests through online ticketing system
• Provide weekly status reports on tickets and pending tasks
• Ensure 24x7 availability for critical breakdowns
• Maintain IT documentation and standard operating procedures
• Monitor SaaS tool usage and costs

On-Site Presence

• Available Monday-Friday, 9:30 AM - 6:30 PM
• Additional visits as required for critical issues or events

Qualification Required

• Minimum 3 years of experience providing managed IT services
• Demonstrated experience with Google Workspace support
