Role Purpose
The Global HR Operations Specialist provides comprehensive HR operational and advisory support across Smartstream's global locations. This role is responsible for the accurate and timely delivery of HR processes spanning the full employee lifecycle, compliance reporting, HR systems administration, and employee relations — supporting managers, employees, and the wider HR team globally.
Key Responsibilities
Employee Lifecycle Management
- Manage end-to-end onboarding for new starters, including contract generation, system setup, and new starter survey distribution
- Process leavers including system updates, exit survey distribution, and leaver administration
- Administer contract variations, flexible working requests, and probation reviews
- Support redundancy processes, disciplinaries, and grievance procedures in line with local employment law
- Manage employment verification requests, study support letters, and immigration travel administration
- Coordinate visa and vetting processes as required
HR Reporting & Data
- Produce monthly headcount reports including dedicated reports for regional stakeholders
- Compile and distribute monthly attrition reports with narrative commentary
- Prepare compliance reports as require
- Benefit administration as required
- Administer monthly eNPS survey distribution, participation tracking, and results communication
HR Systems Administration
- Maintain HRIS accuracy including manager changes, TOIL entries, new holiday types, public holidays, compensation and visa types
- Update and maintain Udemy Business (or equivalent L&D platform) by adding new hires and removing leavers monthly as required
- Support ongoing HR system improvements and configuration changes
HR Operations & Compliance
- Monitor and manage the HR inbox daily, triaging and resolving queries in a timely manner as the sole owner
- Conduct monthly contract reviews to ensure accuracy and compliance
- Support monthly policy reviews and maintain the Manager Hub on a regular cycle
- Administer and support benefits monthly and renewals as requires
- Responsible for parental leave with the HRIS systems and with the Ees/Manager
- Maintain accurate HR documentation and filing
Employee Relations & Advisory
- Provide first-line HR advisory support to managers and employees on HR policies and processes
- Support ER cases including disciplinaries, grievances, flexible working, and redundancy, escalating where appropriate
- Assist with annual performance review and salary review cycles
- Support bonus plan and bonus payment communications
Person Specification
Essential
- Proven experience in a generalist HR role, ideally within a global or multi-country organisation
- Strong working knowledge of HR processes across the employee lifecycle
- Experience of HR systems administration e.g. Workable
- High attention to detail and accuracy in data and reporting
- Ability to manage a varied workload with competing priorities and deadlines
- Strong written and verbal communication skills
- Proficiency in Microsoft Office, particularly Excel
- Discrete and professional in handling sensitive and confidential information
Desirable
- Experience supporting HR operations across multiple jurisdictions including India, UK, Europe, APAC, Americas, or the Middle East
- Familiarity with employment law and compliance requirements in more than one country
- CIPD qualified or working towards qualification
- Experience with eNPS or employee engagement survey tools
