Job Description

Responsibilities

  • Maintain a clean, organized, and presentable front desk with all necessary materials (pens, forms, paper, etc).
  • Greet and welcome guests, clients, and visitors in a courteous and professional manner.
  • Handle queries, provide accurate information, and address complaints promptly and effectively.
  • Manage all incoming calls, redirect them appropriately, or take clear and accurate messages.
  • Receive, sort, and distribute letters, couriers, and packages efficiently.
  • Prepare and dispatch outgoing mail, including drafting correspondence and securing parcels.
  • Review, organize, and forward emails on a regular basis.
  • Maintain and update records and files, including attendance register, vendor register, and other administrative documents.
  • Manage petty cash records in Excel, ensuring accurate tracking of daily inflow and outflow.
  • Monitor office expenses and assist in basic cost tracking and reporting.
  • Ensure office supplies and stationery are always available; track usage and place orders as needed.
  • Coordinate with vendors and maintain proper documentation.
  • Support scheduling, travel arrangements, and other administrative duties as assigned.

Desired Candidate Profile

  • Proven experience as a front desk executive, receptionist, or in a similar role.
  • Familiarity with office equipment (printer, scanner, fax machine, etc).
  • Basic knowledge of office management and bookkeeping practices.
  • Proficiency in English (both written and verbal).
  • Strong working knowledge of MS Office (especially Excel and Word).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • High level of attention to detail and accuracy.
  • Effective time management and ability to prioritize tasks.
  • Customer service-oriented approach.
  • Basic event coordination and administrative support skills.
  • Ability to handle confidential information with integrity.
  • Problem-solving skills and a proactive attitude.
