Position Summary
We are looking for a professional and customer-focused Front Office Executive to manage reception and front desk operations efficiently. The role involves handling visitors, calls, office coordination activities, travel support, vendor coordination, and administrative assistance while ensuring a seamless workplace experience for employees and guests.
Key Responsibilities
- Welcome clients, employees, visitors, and vendors in a professional and courteous manner
- Manage incoming and outgoing calls, issue stationery to employees, and support office events, training sessions, and seminars
- Handle visitor entries, gate passes, maintain visitor records, reception registers, and First Aid kit records
- Coordinate meeting room bookings and assist with meeting arrangements while maintaining stock of office supplies
- Receive, track, and distribute incoming and outgoing couriers and official documents
- Coordinate cab bookings for Partners and employees, liaise with the travel desk, and maintain travel records
- Coordinate with vendors, housekeeping, security, and maintenance teams for office-related support activities
- Assist with employee onboarding formalities, distribution of joiner kits, ID card coordination, and employee exit formalities in coordination with HR
- Track vendor agreements and renewals, verify invoices, process PR/PO requests, and monitor vendor budgets on a monthly basis
- Ensure reception area cleanliness, maintain overall office presentation standards, and support administrative and facilities-related activities as assigned
Required Skills
- Good communication and interpersonal skills with a professional appearance and positive attitude
- Basic working knowledge of MS Office applications such as Excel, Word, and Outlook
- Ability to multitask and manage front desk operations efficiently in a fast-paced environment
- Strong coordination, organizational, and problem-solving skills
- Ability to interact effectively with internal stakeholders, vendors, and visitors
Qualifications & Experience
- Graduate in any stream
- 2 - 5 years of relevant experience in front office, reception, administration, or facilities coordination roles
- Prior experience in corporate office administration will be preferred.
