Job Description

Position Summary

We are looking for a professional and customer-focused Front Office Executive to manage reception and front desk operations efficiently. The role involves handling visitors, calls, office coordination activities, travel support, vendor coordination, and administrative assistance while ensuring a seamless workplace experience for employees and guests.

Key Responsibilities

  • Welcome clients, employees, visitors, and vendors in a professional and courteous manner.
  • Manage incoming and outgoing calls, issue stationery to employees, and support office events, training sessions, and seminars.
  • Handle visitor entries, gate passes, maintain visitor records, reception registers, and First Aid kit records.
  • Coordinate meeting room bookings and assist with meeting arrangements while maintaining stock of office supplies.
  • Receive, track, and distribute incoming and outgoing couriers and official documents.
  • Coordinate cab bookings for Partners and employees, liaise with the travel desk, and maintain travel records.
  • Coordinate with vendors, housekeeping, security, and maintenance teams for office-related support activities.
  • Assist with employee onboarding formalities, distribution of joiner kits, ID card coordination, and employee exit formalities in coordination with HR.
  • Track vendor agreements and renewals, verify invoices, process PR/PO requests, and monitor vendor budgets on a monthly basis.
  • Ensure reception area cleanliness, maintain overall office presentation standards, and support administrative and facilities-related activities as assigned.

Required Skills

  • Good communication and interpersonal skills with a professional appearance and positive attitude.
  • Basic working knowledge of MS Office applications such as Excel, Word, and Outlook.
  • Ability to multitask and manage front desk operations efficiently in a fast-paced environment.
  • Strong coordination, organizational, and problem-solving skills.
  • Ability to interact effectively with internal stakeholders, vendors, and visitors.

Qualifications & Experience

  • Graduate in any stream.
  • 2 - 5 years of relevant experience in front office, reception, administration, or facilities coordination roles.
  • Prior experience in corporate office administration will be preferred.
