Front Office Executive – Admin & Patient Coordination
Location Whitefield, Bengaluru, Work from Office, 6 days a week.
About the Role
The role requires a front office professional who can manage reception, patient coordination, basic administration, and part of the clinic's enquiry-to-visit conversion process. The clinic's operating model includes patient briefing, CRM updates, visit scheduling, fee coordination, and treatment follow-up, so this position combines hospitality, discipline, and basic sales orientation.
Key Responsibilities
- Welcome patients and visitors professionally and create a warm first impression at the clinic.
- Register patients, enter patient details accurately in software/CRM, and maintain updated records.
- Answer incoming enquiry calls, WhatsApp messages, and emails, and respond politely with clear information.
- Explain basic treatment process details, appointment flow, required documents, and next steps to patients in a simple and confident manner.
- Coordinate appointments, treatment schedules, reminders, and follow-up visits to improve patient attendance and continuity.
- Support the team in onboarding patients, collecting reports, and ensuring information is properly recorded in the system.
- Follow up with patients who have enquired, visited once, or need to return for scheduled treatment sessions.
- Assist in front office administration, billing coordination, fee collection support, and maintaining basic registers and records.
- Work closely with doctors and internal staff to ensure smooth patient flow and a positive clinic experience.
- Help convert genuine enquiries into consultations through good communication, trust-building, and timely follow-up.
Candidate Profile
- Fresher to 2 years of experience in front office, reception, admin, customer service, healthcare coordination, or inside sales.
- Good spoken and written English is required; Kannada, Hindi, or Tamil will be an added advantage.
- Comfortable using computers for patient data entry, email handling, Excel, and clinic software/CRM.
- Pleasant personality with strong communication, patience, empathy, and follow-up discipline.
- Able to explain treatment-related process information clearly to patients without sounding pushy.
- Organized, punctual, presentable, and comfortable working in a patient-facing clinic environment.
- Prior experience in a clinic, hospital, wellness centre, diagnostic centre, or healthcare front desk will be preferred.
Education
Any graduate or diploma holder is acceptable. Candidates with backgrounds in BBA, BCom, BA, healthcare administration, or similar fields can fit well.
