Job Description

Job Title: Front Office cum Admin Executive

Location: Ahmedabad, Gujarat

Working Hours: 11:00 AM to 8:00 PM IST

About the Role:

Paperchase Accountancy is seeking a professional, proactive, and highly organized Front Office cum Admin Executive to manage front desk operations, coordinate administrative activities, and provide executive support to our senior leadership team. The ideal candidate will be a strong communicator with exceptional organizational skills and the ability to manage multiple priorities in a dynamic corporate environment.

Key Responsibilities:

Front Office Management:

  • Serve as the first point of contact for visitors, clients, and stakeholders, ensuring a warm and professional welcome
  • Handle incoming calls, emails, couriers, and visitor coordination with efficiency and professionalism
  • Maintain reception area, meeting rooms, and common spaces in an organized and presentable manner
  • Coordinate hospitality arrangements for employees and guests

Administrative Support:

  • Oversee day-to-day office administration and ensure seamless operational flow
  • Liaise with vendors, housekeeping, facility management teams, and office suppliers
  • Maintain organized records of office documents, invoices, contracts, and administrative trackers
  • Support travel bookings, expense reimbursements, and coordination of office events and activities
  • Ensure timely execution of administrative processes and escalate issues when necessary

Executive Calendar & Coordination:

  • Manage calendars, appointments, and meeting schedules for C-level executives
  • Coordinate internal and external meetings, including cross-time-zone scheduling when required
  • Schedule interviews, leadership meetings, business reviews, and client interactions
  • Track meeting priorities, send reminders, and ensure timely follow-ups
  • Assist leadership with travel arrangements, itineraries, and meeting logistics

Required Skills & Qualifications:

  • Bachelor's degree in Business Administration, Commerce, Management, or a related field
  • 2–5 years of proven experience in front office, administration, or executive coordination roles
  • Excellent verbal and written communication skills in English (Hindi proficiency is a plus)
  • Strong organizational skills with the ability to multitask and prioritize effectively
  • Proficiency in MS Office Suite (Excel, Outlook, Word, PowerPoint) and calendar management tools
  • Professional demeanor with strong stakeholder management and interpersonal skills
  • Ability to maintain confidentiality and exercise discretion when working with senior leadership

Preferred Attributes:

  • Prior experience supporting senior management or C-suite executives
  • Background in professional services, finance, consulting, or accounting industries is highly desirable
  • Strong problem-solving abilities and a solutions-oriented mindset
  • High sense of ownership, accountability, and attention to detail
  • Positive attitude with the ability to work independently and as part of a team
