Job Description

Job Summary

The Front Desk Officer is the first point of contact for visitors and clients. They provide administrative support, handle inquiries, and ensure a welcoming and professional environment at the organization's front office.

Key Responsibilities

  • Greet and welcome visitors, clients in a professional manner
  • Answer, screen, and forward incoming phone calls
  • Manage appointments, meetings, and bookings
  • Maintain visitor logs and issue visitor passes when necessary
  • Handle incoming and outgoing mail, emails, and deliveries
  • Provide basic information about the organization's services or departments
  • Keep the reception area clean, organized, and presentable
  • Assist with administrative tasks such as filing, data entry, and document preparation
  • Coordinate with other departments when needed
  • Handle customer inquiries and resolve minor complaints professionally

Required Skills & Qualifications

  • High school diploma or equivalent (a diploma/degree in business administration is a plus)
  • Proven experience as a receptionist or front desk officer is preferred
  • Excellent verbal and written communication skills
  • Strong interpersonal and customer service skills
  • Basic computer skills (MS Office, email, office equipment)
  • Good organizational and multitasking abilities
  • Professional appearance and attitude
