JOB DUTIES AND RESPONSIBILITIES:
Responsibility:
Front Office Management
Greet visitors and guests professionally, ensuring a positive first impression.
Manage incoming phone calls, emails, and courier deliveries.
Handle inquiries efficiently and direct them to the appropriate department/person.
Maintain the reception area's cleanliness and professional appearance.
Coordinate meeting room bookings and ensure their readiness for meetings.
Manage conference room requirements such as refreshments, AV setup, and stationery.
Travel Desk Coordination.
Arrange domestic and international travel bookings (flights, trains, cabs, hotels).
Coordinate visa, travel insurance, and itinerary preparation for business trips.
Maintain records of travel expenses.
Liaise with travel agencies, hotels, and cab vendors for best rates and service quality.
Support senior management with last-minute travel or itinerary changes.
Administrative Support
Assist the Admin / HR team in day-to-day office coordination tasks.
Manage courier dispatch and inward/outward mail registers.
Maintain updated contact directories of vendors, employees, and service providers.
Support in organizing office events, meetings, and conferences.
Maintain stock of front-office (stationery, first aid kit)
Key Skills & Competencies:
Excellent verbal and written communication skills in English.
Pleasant personality and professional grooming.
Strong coordination and multitasking ability.
Good knowledge of MS Office (Word, Excel, Outlook).
Time management, attention to detail, and customer service orientation.
