Job Overview

We are seeking a professional, highly organized, and proactive Front Desk Executive & Executive Assistant to join our team. This dual-purpose role requires a unique blend of hospitality expertise and administrative precision. You will be the face of the office, managing the front desk with grace while providing high-level support to the executive team.

Key Responsibilities

Front Desk & Hospitality

  • Reception Management: Serve as the first point of contact for all visitors, ensuring a warm and professional welcome.
  • Communication: Handle incoming calls, redirecting them appropriately, and managing general inquiries with fluent English.
  • Office Upkeep: Maintain a clean and organized reception area and oversee general office coordination.

Executive Assistance & Administration

  • Calendar Management: Proactively manage complex calendars using tools like Google Calendar and Calendly to coordinate meetings and ensure no conflicts arise. 
  • Travel Coordination: Arrange comprehensive travel itineraries, including flights, accommodation, and transportation, using platforms such as Skyscanner, MakeMyTrip, Airbnb, and Uber. 
  • Multitasking: Balance multiple priorities in a fast-paced environment, shifting between administrative tasks and executive support seamlessly.

Financial Administration

  • Debtor Management: Conduct professional phone calls to debtors to follow up on outstanding payments and maintain healthy accounts receivable.

Skills & Qualifications

Experience

  • Industry Background:2–3 years of experience within the Hospitality or Interior Designing industries is highly preferred.
  • Proven Track Record: Experience in multitasking and executive-level support.

Technical & Soft Skills

  • Software Proficiency: Expert use of Google Workspace (Docs, Sheets, Calendar), Calendly, and various travel booking platforms and MS Suite (Excel, Word).
  • Communication: Exceptional verbal and written communication skills in English.
  • Organizational Prowess: Expert-level calendar and travel management skills.
  • Professionalism: Ability to handle sensitive information and interactions with debtors with tact and persistence.
