Position Overview
We are seeking a well-groomed, energetic, and customer-focused
Front Desk Executive to manage the reception area at our Whitefield office. The ideal candidate will serve as the first point of contact for visitors and employees, ensuring a professional and welcoming environment while providing essential administrative support for day-to-day office operations.
Key Responsibilities
Front Office Management:
- Greet and welcome visitors, clients, and employees courteously and professionally.
- Maintain a clean and organised reception area at all times.
- Manage all incoming calls, route them appropriately, and handle messages efficiently.
- Handle all incoming and outgoing courier, mail, and correspondence.
Visitor & Meeting Coordination
- Manage visitor registration, issue visitor badges, and ensure adherence to security protocols.
- Coordinate meeting room bookings and ensure readiness for scheduled meetings.
- Arrange refreshments and logistics for visitors and client meetings when required.
Administrative & Facility Support
- Assist the HR and Administration teams in facility management activities.
- Manage office supplies, stationery, and pantry inventory.
- Liaise with housekeeping, security, and maintenance vendors to ensure smooth daily operations.
- Support new employee onboarding by assisting with ID cards, seating, and general orientation.
Documentation & Record-Keeping
- Maintain attendance registers, visitor logs, courier logs, and related records.
- Handle confidential documents and information with discretion.
- Support the admin team during internal audits and inspections.
Skills & Attributes
- Excellent verbal and written communication skills.
- Pleasant personality with strong interpersonal and customer service skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- Fluent in English and Hindi (Kannada Mandatory).
- Smart, punctual, and well-groomed with a professional attitude.
Qualification & Experience
- Graduate in any discipline (preferred: B.Com / BBA / BA).
- 23 years of experience in front desk or administrative roles.
- Prior experience in a corporate Software company environment is an added advantage.
