Job Description

Roles and Responsibilities :

  • Handle the front desk operations and provide administrative support to various departments within the organization.
  • Monitoring the Access Control and VMS.
  • Greet and welcome visitors and direct them to the appropriate person or department.
  • Manage the reception area, ensuring it is tidy and presentable at all times.
  • Answer incoming calls, take messages, and redirect calls to the relevant person.
  • Receive and sort daily mail and deliveries, and distribute them to the appropriate departments.
  • Perform general clerical duties, including photocopying, faxing, and filing.
  • Assist in the preparation of reports, presentations, and other documentation.
  • Maintain office supplies and inventory, and place orders when necessary.
  • Invoices process and payment tracking with finance.
  • Coordinate travel arrangements and logistics for employees.
  • Assist in organizing and coordinating meetings, conferences, and events.
  • Handle sensitive and confidential information with integrity and professionalism.
  • Perform additional administrative tasks and projects as assigned.

Required Skills:

  • Proven experience of 2-5 years as a front desk executive or administrative role.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Proficient in MS Office (Word, Excel, and PowerPoint).
  • Ability to multitask and prioritize tasks effectively.
  • Good problem-solving skills and attention to detail.
  • Customer service-oriented with a friendly and professional demeanor.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong interpersonal skills and the ability to build relationships with internal and external stakeholders.

Qualifications:

  • Bachelors degree in business administration or a related field is preferred.
  • Prior experience in a similar role is highly desirable.

  • This is a full-time position based at Gurugram.
  • Working hours may vary and may include weekends or evenings as needed.
