Role overview

You should know what to expect if you're going to join Qcept. Lean in. A little closer.

You'll help us drive growth initiatives, support business development, improve internal operations, coordinate client accounts, and turn ideas into execution.

Some days you'll be helping with content, outreach, and founder priorities. Other days you'll be improving processes, coordinating across teams, tracking key projects, or ensuring things move forward without constant follow-ups.

Your responsibilities will be divided into four pillars:

1. Marketing, Business Development, and Founder's Office Support

  • LinkedIn and content coordination
  • Website and blog coordination
  • Prospect research
  • Outreach tracking
  • Business development follow-ups
  • Founder task tracking
  • Internal coordination
  • Reducing founder dependency
  • Converting founder ideas into execution
  • Research support for strategic initiatives
  • Meeting notes and action tracking

2. Operations, Admin, and Compliance

  • Admin coordination
  • Internal documentation
  • Compliance
  • Agreements
  • Leave and process discipline
  • Invoice coordination
  • Payment follow-ups
  • Vendor and basic operational support

3. Team Efficiency and Client Account Coordination

  • Team productivity tracking
  • Billable vs non-billable hours tracking
  • Credit tracking
  • Retainer client coordination
  • Weekly updates
  • Client follow-ups
  • Workload visibility
  • Delivery team accountability

4. People, Culture, and Capability Building

  • Talent acquisition
  • Onboarding
  • Training and development
  • Appraisals and feedback
  • Team culture
  • Role clarity
  • Performance conversations

Requirements

  • 3–6 years of experience in operations, founder's office, business coordination, HR, or related functions.
  • Prior experience working in a design, marketing, consulting, or creative agency.
  • Strong communication and organizational skills.
  • Comfortable working in a fast-paced, creative environment.
  • Ability to manage multiple responsibilities with attention to detail.
