As the Foundation Operations Coordinator supporting a United States based foundation; you will ensure that records, approvals, documentation, and data are accurate and complete. This position is critical because it protects financial integrity, strengthens trust with grantees, and enables smooth end-to-end grant administration. You will shape structure, process rigor, and operational consistency within a foundation environment that values accuracy and proactive planning.
What You will Do
You will own the execution of key operational functions within the foundation environment. Your work keeps approvals accurate, documentation complete, and workflows on schedule.
Key responsibilities include:
Support US-based donation and grant processes, managing documentation, data accuracy, and workflow coordination for a United States foundation.
Collaborate with US stakeholders and operate with flexibility for US time alignment needs.
Maintain grant, donation, and donee records with accuracy and consistency across all workflows.
Validate critical information such as donee names, EINs, data fields, and documentation inputs.
Prepare documentation packets, forms, and materials to support approval, payment, and reconciliation steps.
Organize data, digital files, naming structures, and record systems to support repeatability and transparency.
Track approval steps and reporting deadlines to ensure timely processing.
Support internal partners and grantees with professional communication and documentation accuracy.
Contribute to dashboards, reports, and documentation improvement efforts.
What You will Bring
3+ years experience in performing detailed operational or administrative work with documented accuracy.
Strength in maintaining organized records, structured documentation, and reliable workflows.
Ability to follow defined processes and recognize when updates or clarification are required.
Comfort working independently and handling sensitive or confidential information appropriately.
Strong communication skills and consistent follow-through.
Preferred: nonprofit, family office, philanthropic, grant, or compliance documentation experience.
