- Job Title: Project Billing & Operations Specialist
Position Summary
We are seeking a detail-oriented professional to manage our end-to-end customer invoicing and time sheet processes. In this role, you will work within our
IPMS to ensure all billable hours are accurately captured, verified, and invoiced. You will also be responsible for maintaining complex data sets and generating multiple operational reports to support business decision-making.
Key Roles & Responsibilities
- Customer Invoicing:
- Execute the full billing cycle, ensuring all Timesheets and invoices are accurate, compliant with contract terms, and issued on time.
- Coordinate with project managers to resolve billing discrepancies and manage customer queries related to pricing or services.
- Timesheet Management:
- Oversee the collection, review, and approval of employee and contractor timesheets.
- Verify hours worked against project codes to ensure accurate payroll and client billing.
- IPMS Environment Maintenance:
- Utilize and maintain the IPMS platform as the central source of truth for project and personnel data.
- Ensure data integrity by regularly auditing system entries and troubleshooting workflow bottlenecks.
- Report Generation & Analysis:
- Design and maintain multiple weekly and monthly reports, including aging reports, resource utilization, and project profitability.
- Create custom dashboards to provide real-time visibility into financial and operational KPIs.
Required Qualifications & Skills
- Education-Preferable: Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
- Experience: 2–4 years of experience in billing, project coordination, or financial operations.
- Software Proficiency:
- Hands-on experience with IPMS or similar ERP/Project Management software (e.g., SAP, Oracle, or proprietary systems).
- Intermediate Microsoft Excel skills (Pivot Tables, VLOOKUPs, and complex data validation).
- Soft Skills:
- Exceptional attention to detail and a right-first-time approach to data entry.
- Strong communication skills for collaborating across finance, HR, and sales departments.
