Job Summary
The Finance and Admin Executive handles day-to-day accounting functions and financial reporting support, while providing essential office administrative coordination. This role requires basic accounting professionalism, clear communication, and a resourceful, proactive approach to managing general office administration and operations.
Responsibilities
Accounts
- Manage Accounts Receivable by processing receipts and following up with customers on outstanding payments to support cash flow.
- Conduct regular follow-ups and age analysis on outstanding payments to maintain accurate cash flow management.
- Manage Accounts Payable by processing invoices and payments, resolving discrepancies with vendors to ensure timely payments.
- Resolve invoice, purchase order, or billing discrepancies through direct communication with vendors and internal teams.
- Assist in preparing daily sales reports to provide timely financial insights.
- Prepare and post accurate monthly journal entries, including prepayments, accruals, and depreciation, to maintain financial accuracy.
- Prepare monthly balance sheet schedules and perform bank reconciliations to ensure financial records are accurate and up to date.
- Prepare GST returns and ensure timely tax filings in compliance with local regulations.
- Assist with internal and external audit queries by compiling required schedules and documentation for auditors.
- Contribute to finance-related initiatives that support business growth and operational improvements.
Office Administration
- Serve as the primary point of contact for office inquiries, visitor reception, mail sorting, and deliveries to maintain smooth office operations.
- Manage office supply inventory, pantry stock, and coordinate office equipment maintenance to ensure a well-functioning workplace.
- Assist with employee onboarding administrative tasks such as issuing access passes and allocating workstations to support new hires.
- Maintain a clean, organized, and professional office environment to promote a positive workplace culture.
- Liaise with non-trade vendors, service providers, and building management to coordinate office services and maintenance.
- Organize office events and team-building activities to enhance employee engagement and morale.
- Perform ad-hoc operational and administrative duties as required to support overall office efficiency.
Competencies and qualifications
- Minimum Diploma or Degree in Accounting, Finance, or equivalent.
- 1-2 years of relevant experience in accounts and general office administration entry-level candidates or junior executives looking to grow are welcomed to apply.
- Proficient in accounting software and Microsoft Excel to perform accounting and reporting tasks effectively.
- Basic familiarity with local accounting standards and GST submission requirements to ensure compliance.
- Strong attention to detail, numerical accuracy, and organizational ability to maintain high-quality work.
- Professional verbal and written communication skills with a willingness to learn and adapt.
- Proactive, solution-oriented mindset to independently handle administrative operations and resolve workplace challenges.
- Ability to multitask and prioritize tasks effectively in a dynamic work environment.
