Job Description

  • Issue Resolution & Stakeholder Relations:
  • Address and resolve administrative and operational issues in a timely manner.
  • Coordinate with internal teams and external stakeholders to ensure smooth operations.
  • Track and report the number of incidents resolved within the defined Turnaround Time (TAT).
  • Operational Oversight:
  • Monitor procurement activities to ensure cost-effectiveness.
  • Compare purchased item prices with benchmark prices to identify cost-saving opportunities.
  • Ensure adherence to company policies and compliance regulations.
  • Financial Transactions & Approvals:
  • Manage and oversee financial transactions related to administration.
  • Track budgeted vs. actual fuel expenses and work on cost optimization strategies.
  • Compliance & Documentation:
  • Ensure timely renewal of all statutory documents.
  • Track and monitor average fuel prices per liter to assess cost trends.
  • Maintain updated, secure, and easily accessible records for assets and machinery.
  • Vehicle Maintenance and Fuel Management:
  • Oversee vehicle and machinery maintenance to ensure operational efficiency.
  • Optimize fuel consumption for company vehicles and machinery.
  • Ensure adherence to HR budget and maintain departmental manpower costs as per management directives.
  • Asset Management & Maintenance:
  • Ensure scheduled maintenance and upkeep of fixed assets separately for DKC and DKC-F.
  • Reduce unexpected breakdowns and adhere to maintenance schedules.
  • Maintain an updated asset database with complete documentation.
  • Fuel Consumption Monitoring:
  • Monitor, track, and optimize fuel consumption for vehicles and machinery.
  • Ensure adherence to daily logbook entries and minimize errors.
  • Identify fuel cost trends and work on cost reduction strategies.
  • Logbook Management:
  • Ensure daily updation and accuracy of vehicle and machinery logbooks.
  • Improve compliance in daily logbook entries and reduce errors.
  • Maintain an efficient turnaround time for corrections.
  • Compliance & Record Keeping:
  • Ensure 100% compliance with document renewals to avoid penalties.
  • Maintain accurate records without discrepancies.
  • Achieve high compliance audit scores and efficient retrieval times for documentation.

Must have skills

  • Strong knowledge of vehicle and asset management.
  • Expertise in financial planning, budgeting, and cost control.
  • Excellent stakeholder management and issue resolution skills.
  • Proficiency in MS Office and administrative software
  • Strong analytical and problem-solving skills.
  • Ability to handle multiple tasks and work under pressure.
