Position Title: Facilities Manager

Position Summary

The Facilities Manager will be responsible for the overall management, maintenance, safety, and operational efficiency of campus infrastructure and facilities at AIMS Institutes. This role ensures smooth functioning of buildings, utilities, services, equipment, and support systems, creating a safe, clean, compliant, and conducive environment for students, faculty, staff, and visitors.

Key Responsibilities

Infrastructure & Maintenance Management

  • Oversee maintenance of academic buildings, hostels, offices, common areas, and campus facilities.
  • Manage electrical, plumbing, HVAC, elevators, fire systems, water supply, sewage, and power backup systems.
  • Ensure preventive, predictive, and breakdown maintenance schedules.
  • Supervise civil works, renovations, repairs, and minor construction activities.
  • Maintain asset registers and lifecycle management of infrastructure assets.

Operations & Service Management

  • Manage housekeeping, sanitation, waste management, and hygiene standards.
  • Oversee security services, access control systems, and campus safety operations.
  • Manage transport services, parking, and traffic movement within campus.
  • Ensure uninterrupted utilities and essential services.

Compliance & Safety

  • Ensure statutory compliance with local authorities, BBMP, BESCOM, BWSSB, Fire Department, Pollution Control Board, and other regulatory bodies.
  • Implement health, safety, and environmental (HSE) standards across campus.
  • Conduct safety audits, risk assessments, and emergency preparedness drills.
  • Ensure compliance with fire safety, disaster management, and evacuation protocols.

Vendor & Contract Management

  • Identify, evaluate, and manage vendors, contractors, and service providers.
  • Finalize AMC contracts and service agreements.
  • Monitor service-level agreements (SLAs) and vendor performance.
  • Negotiate contracts, pricing, and service terms.

Budgeting & Cost Control

  • Prepare annual facilities and infrastructure budgets.
  • Monitor operational costs and optimize resource utilization.
  • Implement cost-saving and energy-efficiency initiatives.
  • Track expenditures and ensure budget compliance.

Sustainability & Green Campus Initiatives

  • Implement sustainability practices including energy conservation, water management, waste reduction, and green initiatives.
  • Support solar energy, rainwater harvesting, and eco-friendly infrastructure projects.

Coordination & Stakeholder Management

  • Coordinate with academic departments, hostels, administration, HR, IT, and management.
  • Address facilities-related complaints and service requests promptly.
  • Ensure high service quality and stakeholder satisfaction.

Reporting & Documentation

  • Maintain facilities MIS, service logs, compliance records, and asset documentation.
  • Prepare periodic reports on operations, maintenance, and infrastructure status.
  • Support audits, inspections, and accreditation requirements.

Educational Qualification

  • Bachelor's degree in (Civil/Electrical/Mechanical/Facilities Management) or equivalent
  • Postgraduate qualification in Facilities Management / Infrastructure Management / Project Management (preferred)

Experience

  • 36 years of relevant experience in facilities/infrastructure management
  • Experience in educational institutions, hospitals, IT parks, campuses, or large commercial facilities preferred
