Job Description

Position Title: Senior Executive - Administration (Off roll)

Department: Corporate Services / Administration

1. Role Overview

The candidate will support the Times Network, Media operations services team and ensure efficient functioning of all administrative, facility management, Maintenance coordination, and employee support functions. This role involves supervising day-to-day Admin. operations, Maintenance activities, coordinating with vendors, ensuring compliance with internal policies, and assisting in audits, budgeting, and other process improvements upkeep the premises.

This position requires leadership capability, strong coordination skills, basic knowledge of maintenance of equipment like civil, carpentry, kitchen equipment, etc. and the ability to manage overall services at the location.

2. Key Responsibilities

A. Office & Facility Management

  • Oversee daily office administration, housekeeping, pantry, and security services.
  • Ensure upkeep, hygiene, safety, and maintenance of office premises.
  • Manage seating plans, workplace utilization, and conference room allocations.
  • Support implementation of facility-related SOPs and workplace standards.
  • Coordination for infra / service maintenance with landlord / management, cost approvals etc.
  • Responsible for closing Tickets on TAT

B. Vendor & Contract Management

  • Supervise vendors for housekeeping, security, cafeteria and transport services.
  • Ensure service-level agreements (SLAs) are met and track vendor performance.
  • Manage renewal of AMCs, contracts, licenses, and compliance documentation.
  • Review vendor bills, verify consumption, and process invoices for payments with accuracy.

C. Travel, Transport & Logistics

  • Oversee employee transportation and fleet deployment.
  • Monitor transport compliance and ensure cost-effective solutions.
  • Coordinate logistics for events, meetings, or inter-office movements.

D. Asset, Inventory & Infrastructure Management

  • Maintain updated inventory of office assets and consumables.
  • Coordinate with IT and facilities for asset tagging, allocation, and audits.
  • Support procurement activities, quotations, and comparative statements.

E. Administration Compliance & Documentation

  • Ensure adherence to internal audit, compliance, and department SOPs.
  • Maintain records of admin expenses, attendance and facility reports.
  • Prepare MIS reports and dashboards for monthly reviews.
  • Support risk management, safety protocols, and business continuity processes.
  • Maintenance checklist / Daily report / breakdown report etc.

F. Employee & Stakeholder Support

  • Manage onboarding support — workstations, lockers, and stationery.
  • Address employee concerns related to facilities, transport, seating, and general office matters.
  • Coordinate office events, celebrations, visits, and management meetings.

3. Skills & Competencies

  • Strong communication and stakeholder management skills.
  • Good understanding of facilities management, vendor management, and administrative operations.
  • Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
  • Budgeting, cost control, and negotiation capability.
  • Ability to lead teams and manage high-pressure situations calmly.
  • Strong analytical and documentation skills.

4. Qualifications & Experience

  • Graduate in any discipline.
  • 3–5 years of experience in corporate administration or facility management roles.

Prior experience handling multi-location operations is an added advantage

Duty Timings: 10 am to 7 pm

Workdays: 6 days a week

Location: Trade House, Kamala Mills, Lower Parel, Mumbai
