Description

  • Manage site operations efficiently and ensure timely completion of all deliverables.
  • Maintain thorough facilities trackers for site operations expenditure, technical operations, utility readings with the builder team and RCA tracker for incidents.
  • Coordinate with AMC vendors for preventive maintenance activities as per the yearly schedule.
  • Manage MEP & facilities material indents and track inventory for consumption.
  • Maintain checklists, MIS reports, MMR, petty cash and 6s implementation at the site.
  • Conduct daily facility walkthrough, address observations on priority, and seek approvals when required for dependent work.
  • Manage space allocation for GP's and approve swaps or new seat allocations in the system in a timely manner.
  • Coordinate with vendor partners for the timely submission of invoices and verify them against PO line items along with supporting documents, such as service reports for AMC's, attendance for manpower invoices, and consumption trackers. Impose penalties if the service does not meet the agreed SLA.
  • Handle employee transportation and ensure timely arrivals and departures and report any delays or incidents to the manager.
  • Manage cafeteria operations, conduct daily kitchen inspections, and collect lab reports from the food vendor on a quarterly basis.
  • Extending support for events internal and external.
  • Ensure optimal functionality of building systems like HVAC, fire safety equipment (where applicable), elevators, diesel generators, docks, etc.
  • Conduct and certify Quarterly Business Reviews for key vendors, including review of Service Level Agreements (SLA), and Key Performance Measurements (KPI).
  • Prepare & conduct Performance Dialogues with Facility Management Teams and other key stakeholders involved in the FM value chain.
  • Collaborate with Facilities Manager to develop and administer operating and capital budgets for facilities.
  • Ensure Facilities team provides efficient, high-quality service that meets business and external needs.
  • Be available and approachable for employees to resolve their challenges and queries.
  • Ensure compliance with internal policies and procedures and including maintaining data.
  • Manage workspace design and utilization to accommodate staff and business requirements.
  • Complete or coordinate routine inspections to determine required services.
  • Oversee non-construction projects, recommend and coordinate projects that enhance property value.
  • Develop and maintain positive relationships with internal and external customers and facilities staff.
  • Provide regular reports on facility operations, expenses, and projects to management.
  • Respond to after-hours facilities related to emergencies and determine the appropriate course of action to resolve issues.
  • Should be able to quickly mobilize resources to meet the ever-changing demands.
  • Should be able to coordinate with the building authorities for building related matters.

Qualifications

  • Bachelor's degree in business administration, Engineering, Technical, or related fields.
  • Desirable Facilities Management Certification.
  • Minimum 10 years of related experience, preferably in business office environment with facilities management experience.
  • Excellent oral and written communication skills, ability to clearly present complex information to all organizational levels.
  • High adaptability to new tools and processes.
  • Committed to continual learning and improvement.
  • Reporting to the Admin Manager in Bengaluru.
