We are looking for a detail-oriented and experienced Export Documentation Executive to manage export documentation, compliance, and shipment coordination activities.
Job Responsibilities
Export Documentation
- Prepare and verify export documents including Commercial Invoice, Packing List, Shipping Bill, Bill of Lading, Airway Bill, Certificate of Origin, LUT, and other export-related documents.
- Ensure accuracy and timely completion of export documentation as per customer and regulatory requirements.
- Maintain records of export transactions and documentation for audit and compliance purposes.
Shipment Coordination
- Coordinate with CHA, freight forwarders, shipping lines, courier agencies, and transporters for smooth shipment execution.
- Track export shipments and provide regular updates to customers and internal departments.
- Ensure timely dispatch and delivery of export consignments.
Compliance & Regulatory Activities
- Ensure compliance with DGFT, Customs, GST, RBI, and international trade regulations.
- Monitor export procedures and maintain adherence to company and government policies.
- Support management during export audits and compliance reviews.
Customer & Internal Coordination
- Communicate with overseas customers regarding shipment schedules, documentation, and dispatch status.
- Coordinate with Production, Quality, Accounts, Stores, and Dispatch departments to ensure smooth export operations.
- Resolve documentation and shipment-related issues promptly.
MIS & Reporting
- Prepare export MIS reports and shipment status reports.
- Maintain accurate records of export orders, shipments, and documentation.
- Provide regular updates to management regarding export activities.
Key Result Areas (KRA)
- 100% accuracy in export documentation.
- Timely preparation and submission of export documents.
- Smooth coordination with logistics partners and customs authorities.
- Compliance with all export regulations and documentation requirements.
- Timely shipment execution and dispatch tracking.
- Proper maintenance of export records and MIS reports.
- Effective communication with customers and internal teams.
- Reduction in documentation errors and shipment delays.
Required Skills
- Strong knowledge of export documentation and international trade procedures.
- Knowledge of DGFT, Customs, GST, RBI, and export compliance regulations.
- Understanding of freight forwarding, shipping, logistics, and banking procedures.
- Good communication and coordination skills.
- Strong documentation and record management abilities.
- Proficiency in MS Office (Excel, Word, Outlook).
- Knowledge of ERP systems will be an added advantage.
- Ability to handle multiple shipments and deadlines efficiently.
- Attention to detail and accuracy.
Qualifications & Experience
- Bachelor's Degree in Commerce, International Business, Business Administration, or related field.
- Minimum 2 to 6 years of experience in Export Documentation and Export Operations.
- Experience in manufacturing, engineering, aerospace, defense, or industrial sectors will be preferred.
- Hands-on experience in export documentation and shipment coordination is mandatory.
Additional Details
- Salary: 4 LPA to 6 LPA (Depending on experience)
- Working Hours: 10:00 AM to 6:30 PM
- Working Days: Monday to Saturday
- Age: 22 to 40 Years
